Job Title: Senior Business Systems Analyst

Location: Nairobi, Kenya

PROJECT BACKGROUND:

The USAID Africa Trade and Investment (ATI) program is a five-year, flexible buy-in mechanism jointly managed by the USAID Africa Bureau, Middle East Bureau, and Africa Regional Missions. It was designed to mobilize enterprise-driven solutions that increase trade and investment in Africa, including North and Sub-Saharan Africa. It strengthens Africa’s markets by developing new trade and investment relationships, particularly between the United States and African continent. It also works to achieves development outcomes across all sectors.

ROLE’S PURPOSE:

The Senior Business Systems Analyst will ensure that all internal management information systems project is utilized and reflect both company-wide and individual project requirements. This position requires understanding the fundamentals of project management including all aspects of technical implementation as well as the administrative regulations required by the Award. The Senior Business Systems Analyst will design and provide training to project staff and partners on maintaining and capturing monitoring data, assist with project reporting requirements, and facilitate compliance through systemized review of tracking data.

OBJECTIVES AND DUTIES:

TAMIS / Grants Manager+ /

  • Participate in and, as appropriate, facilitate management discussions to gather project implementation system requirements.
  • Document requirements and coordinate with DAI’s systems programming staff.
  • Test design and functionality prior to project-wide launch.
  • Collaborate with project staff to ensure completeness of information and documentation in systems.
  • Identify areas of systems that are not being used consistently, determine any constraints, and propose solutions.

Training and System Usage Mentorship to Project Staff

  • Provide day to day remote assistance and support to project staff.
  • Troubleshoot resolutions to urgent issues.
  • Identify training needs and develop training materials appropriate to users at all organizational levels.
  • Provide user training as part of project staff orientation program.
  • Provide user training to partners on using all internal project systems.
  • Travel to field office sites to perform system and process training as needed. Develop capacity within project offices to address their on-going training needs.
  • Identify training needs and expand upon existing computer-based training and written instructions on system/software to meet the established needs.
  • Draft user guides for new system features and ensure that the guides are complete and correct.

Project Monitoring and Reporting

  • Work with technical teams and Reporting and Analysis Manager to define the technical data reporting structure and process of data collection to be reflected in the system.
  • Work with clients to ensure their reporting needs are being met efficiently.
  • Collaborate with field teams to ensure completeness of information and documentation created.
  • Manage, review, and analyze data related to project activities documented in all systems in an effort to improve overall system functionality, accuracy, and efficiency.
  • Ensure the system reflects needed process controls for both technical and administrative functions including approvals, technical assistance management, procurement management, and monitoring and evaluation data management, etc.
  • Design reporting mechanism for management decision-making using power BI and/or other similar tools.
  • Assist in routine field data collection/extraction for quality review by appropriate managers and for use in project reporting.

REPORTING :

The Senior Business Systems Analyst reports to the Chief Financial Officer.

QUALIFICATIONS:

  • B.A. Degree
  • 9+ years of experience in related position
  • Experience working with international NGOs or donors, such as USAID-funded projects (preferred).
  • Demonstrated ability to work in dynamic environments and achieve development outcomes
  • Excellent organizational skills with a willingness to take initiative and be proactive
  • Ability to perform high-level duties with a minimum of supervision
  • An articulate individual who possesses excellent communications and personnel management skills and who can relate to people at all levels of an organization
  • An energetic, forward-thinking and creative individual with high ethical standards and appropriate professional image
  • An extremely well organized and self-directed individual with sound technical skills, analytical ability, good judgment, and strong operational focus
  • Previous experience with DAI policies, procedures, and systems (TAMIS, etc.) preferred
