We’re seeking a 12 months , fixed term Executive Assistant based in Berlin to support the Office of the General Counsel (OGC) with implementation and management of employment matters and restructuring projects within the Open Society Foundations. The position will report to Legal Operations Team Manager in Berlin and will work closely with the Principal Counsel, Employment Lawyers and other legal operations colleagues.

The Executive Assistant’s role will primarily provide support to Employment Lawyers on specific time sensitive projects, including assisting the Team with coordination, scheduling, preparation of materials and other similar tasks.

As a Executive Assistant At Open Society, You Will

  • Act as support/ coordination role for ongoing OGC projects (specifically those related to the transformation and the employment law matters) including: managing logistics, agenda setting, coordinating action items, and deliverables;
  • Assist Legal Counsels with administrative duties including but not limited to: coordinating Legal Documents filing and supporting ad hoc projects, perform legal research;
  • Manage, organize, and maintain Legal documentation in paper or electronic filing systems;
  • Act as a point of contact and respond to inquiries from within the Open Society Foundations network, which may involve resolving basic requests, legal research, or determining the right attorney to respond to the request;
  • Act as support/ coordination role for ongoing OGC projects including: managing logistics, agenda setting, coordinating action items, and deliverables;
  • Act as task manager for ongoing projects including: managing logistics, agenda setting, coordinating priorities/action items, monitoring and evaluating existing projects; and provide support and assistance for the delivery of project related tasks;
  • Manage a detailed project schedule and work plan to guide project implementation, including project resourcing, deadlines, and dependencies to track all key tasks necessary to achieve the identified project objectives;

What We Are Looking For

  • Three to Five (or more) years of proven experience as Executive Assistant, Team Assistant or comparable roles;
  • Excellent Project Management skills;
  • Outstanding organizational and time management skills;
  • A proven ability to work efficiently in an environment with competing demands and follow projects through to completion on schedule, without loss of attention to detail;
  • Someone with open and flexible mindset who is willing to question their own assumptions and adapt their approach to unique circumstances and local context;
  • Ability to maintain confidentiality and exercise considerable discretion;
  • Thorough knowledge of Outlook, Excel, Word and PowerPoint;
  • Written, verbal, organizational, analytical, facilitation and interpersonal skills; with sensitivity to cultural communication differences;
  • Demonstrated resourcefulness and self-motivation, able to work independently and solve problems creatively;
  • Commitment to continuous learning and growth in the areas of diversity, equity, inclusion, antiracism and social justice;
  • Commitment to listening and working with humility; ways of working that are respectful to all people; and that support space and voice for all diverse perspectives in our workplace.

Desirable, But Not Required

  • Public speaking and presentation skills;
  • Experience working in a complex organization;
  • Experience working with a grant making organization.
