Hours: 35hrs p/wDays: Monday – FridayLocation: 175 St John Street, Farringdon

The Facilities Assistant and Administrator, is a key post at the heart of Place2Be. You will be liaising with all departments across Place2Be, located at both Core Hub and the service delivery teams in Place2Be schools, as well as a wide range of external stakeholders including head teachers, key partners and funders. As the first-point of contact you will be responsible for the day-to-day running operation of the Reception and Facilities function including; meeting and greeting clients, screening phone calls, booking meetings, sorting and distributing post, arranging couriers and support the FFM in effectively running the department. You will demonstrate excellent people skills and use initiative to help ensure that Head Office is a safe, pleasant and professional environment for all staff.

What will I be responsible for in my new role?

You Will

  • responsible for day-to-day operation of Reception and ensure that the facility reflects the work environment of a professional, high quality, customer-oriented organisation.
  • act as an ambassador for Place2Be by ensuring we provide a welcoming first point of contact for staff, visitors, funders, volunteers and contractors who access our workspaces.
  • administer processes for ordering and delivery of goods and services across Place2Be operations, in order to enable cost-effective procurement of supplies.
  • book travel and accommodation for Place2Be teams, ensuring value for money. This will require administration of relevant systems.
  • assist the Facilities manager in observing and enforcing the requirements of the Place2Be Housekeeping Charter. Ensuring that Head Office is a safe, pleasant and professional environment for all staff. Where necessary liasing with suppliers e.g. cleaning to constantly improve environment and resources for staff.
  • implement and maintain procedures and efficient office administrative systems including guest sign-in , administering visitor passes and compliance with health and safety requirements.

The successful candidate will have:

  • to be highly presentable, professional and with excellent interpersonal skills – ability to communicate with a wide range of people, confidently build and maintain relationships
  • the ability to work effectively with all levels within the organisation and with key external agencies
  • to possess a flexible approach to work whilst supporting a busy office
  • a excellent telephone manner. Able to maintain a friendly but professional manner in all circumstances and represent Place2Be as first point of contact
  • a proven ability to provide excellent customer service
  • excellent organisational skills with the ability to remain calm under pressure
