Program / Department Summary

Mercy Corps   is   implementing the project to promote peaceful coexistence and wellbeing for returnees and host communities in conflict affected communities in Ninawa trough psychosocial resilience, social cohesion and livelihood restoration, The first project’s pillar is based on the principle that the safety and wellbeing of returnees and host communities’ youth and adolescents in Ninawa is crucial to mitigate protection risks and avoid negative coping behaviors (Outcome 1: Improved psychosocial wellbeing for vulnerable adolescents and youth aged 10-24). As the second project’s pillar, once youth have positive coping skills they are able to participate to the civic life and promote social cohesion (Outcome 2: Increased social cohesion between communities including greater inclusion of women and youth in Ninawa). Also, the third project’s pillar is linked to the first pillar. The coping skills obtained through the psychosocial support activities will also allow returnees and host communities youth to absorb new skills for starting livelihood activities. Therefore, the project will focus on connecting older youth (18-24) to increased livelihood opportunities (Outcome 3: Increased economic resilience of youth through enhanced livelihood opportunities in three districts of Ninawa).

GENERAL POSITION SUMMARY:

The program Admin Assistant will provide administrative support to Mercy Corps SIDA program to implement the program activities of Social Cohesion Program in collaboration with local partner’s team and Local Peace Committees   in Tal kaif, Mosul and Sinjar districts to enhance peaceful environment and wellbeing of the returnees and host communities in conflict affected in Tal Kaif and Mosul districts   through psychosocial resilience, social cohesion and livelihood restoration.

 

Essential Job Responsibilities:

  • Responsible for smooth flowing of routine, administrative work for the program.
  • Responsible for filing and organizing program documentation in a clear and accessible manner.
  • work closely with the Program Manger to ensure proper logistics, administration, human resources of the program are conducted within MC policy and with the maximum benefit to the program
  • Responsible for data entry of staff expenses and activity expenses of all programs.
  • Assist in workshop, training and meeting preparation which includes material preparation, copying and supply purchasing.
  • Ability to travel and follow up with other offices in administrative matters and coordinate invitations in all sub offices.
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails.
  • Maintain office supply inventories.
  • Responsible for the procurement process in coordination with the team.
  • Responsible for clearing all activity expenses with the Finance department.
  • Abide by all security protocols.
  • Conduct him/herself both professionally and personally in such a manner as to bring credit to Mercy Corps and not to jeopardize its humanitarian mission.
  • Coordinate with Finance Department to ensure that payments to vendors have been made on-time and without any unnecessary strain on the financial system
  • Submitting procurement and Finance forecast (projection) planning and daily coordination of procurement activities.

Security: ENSURE COMPLIANCE WITH SECURITY PROCEDURES AND POLICIES AS DETERMINED BY COUNTRY LEADERSHIP.

  • Proactively ensure that team members operate in a secure environment and are aware of policies.

Accountability to Program Participants

  • Mercy Corps team members are expected to support all efforts toward accountability, specifically to our program participants and to international standards guiding international relief and development work, while actively engaging targeted communities as equal partners in the design, monitoring and evaluation of our field programs.
  • Team members are expected to conduct themselves in a professional manner and respect local laws, customs and MC’s policies, procedures, and values at all times and in all in-country venues.

ACCOUNTABILITY: Accountable to Position Description, MC HR Manual, and Code of Conduct Mercy Corps team members are expected to support all efforts towards accountability, specifically to our beneficiaries and to international standards guiding international relief and development work while actively engaging beneficiary communities as equal partners in the design, monitoring and evaluation of our field projects.

SUPERVISORY RESPONSIBILITY: None

REPORTS DIRECTLY TO: Program Manager  

WORKS DIRECTLY WITH Program staff, field-based logistics, procurement and finance teams, and other MC team members.


Qualifications & Preferred Skills

 

Knowledge and Experience

  • At least two years of related work experience required.
  • Completion of higher education is required (a Bachelor degree is required).
  • At least one-year experience and background working with NGOs or other relevant organizations.
  • Excellent communication skills.
  • Knowledge of English, Arabic languages.
  • Solid computer knowledge.
  • Organized and timely
