Job Overview:

The Budgets & Planning Coordinator is a member of the IRC San Diego Finance team. The position provides support to the Director of Finance in areas related to budgeting and financial planning including but not limited to budget development and forecasting, staff time planning and tracking, and basic financial analysis.

Major Responsibilities:

Responsibilities include, but are not limited to:

  • Support the Finance Director in budget creations, projections, and project spending plans to deliver more efficient and effective reports and financial analysis;
  • Track staff time allocations across multiple funding streams to inform budget decisions and project planning. Maintain and update spending plans on a monthly basis to facilitate staff time planning and payroll allocation decision making;
  • Work with the San Diego Finance Manager to ensure accurate and timely upload of grant budgets to Integra and generate budget v actual reports for spending plan review and update. Coordinate with department staff and the finance team to ensure project budget and actual data is current and complete;
  • Manage individual budgets as assigned and prepares periodic reports for various restricted contributions and grants; Review expenses and investigate/report any questionable charges for timely corrections as necessary;
  • Prepare or direct the preparation of financial and other reports required by funders and monitoring agencies during monitoring/audit visits, or as needed;
  • Prepare journals for budget recoding/reclassifications as needed;
  • Other related duties as assigned.

Key Working Relationships:

  • Position reports to Finance Director
  • Collaborates with Finance team members and Program Leads

Job Requirements:

  • Undergraduate degree in a related field such as Accounting or Finance; Minimum 2 years related non-profit administration and/or budgeting experience required;
  • Experience in reviewing general ledger transactions and basic bookkeeping/accounting;
  • Solid organizational and time-management skills; proven ability to prioritize and deliver on time; Strong analytic problem-solving skills;
  • Proficient in Microsoft Office applications (Word, Excel, Pdf) and ERP software;
  • Commitment to DEI principles and an inclusive work environment;

Working Environment:

  • During pandemic: A hybrid schedule of at-home work with reliable internet and office work.
  • Non-pandemic: Standard, professional office environment;
  • Offices hours are scheduled as Monday-Friday, 8:30am-5pm;
  • Must be comfortable working on a computer for long periods of time.
