Whippany Actuation Systems is looking for an entry-level Order Administrator to become an integral part of our Sales and Marketing team. As a part of the Sales and Marketing team, you will support the entire business executing order administration and contract management functions. Your facilitation and day-to-day support of the customer is critical to the success of the organization. This is an exciting role with room for growth within our organization.

In this role, you will typically:Act as a primary point of contact with customers in assigned area of responsibility by facilitating purchase orders, quotes, contract management and compliance, and general communications both internal to Whippany Actuation Systems and with external organizations.
Keep customers informed on all issues related to Whippany Actuation Systems products and services.
Compile quotes and proposal responses to customer inquiries.
Disseminate and facilitate all communications between the customer and Sales and Marketing Team.
Provide responses and regular updates to the customers regarding order status, requests for quotation, delivery status, order book maintenance, technical questions, warranty claims, etc. and any other such metrics as may be required.
Coordinates with internal departments to close actions such as Quality Notices and Audits to the satisfaction of the customer.
Provides periodic reporting of metrics as required
Maintain a positive outlook and seeks to portray Whippany Actuation Systems in a positive light with the customer base.
Provides preliminary review of contracts and purchase orders for compliance to internal company policies and enter in ERP system with accuracy.
Assist in negotiations, execution, and management in Contracts.

We require:Bachelor’s degree in finance, accounting, business administration, supply chain management, or related field
Experience in a role which required strong interpersonal skills
Experience utilizing Microsoft Excel for analyzing data and creating reports
Legal authorization to work in the U.S.
Eligibility for any required U.S. Government authorizations to conform with U.S. export control regulations

 

We would really like to see:Experience with negotiation and contracting processes
Experience working with an ERP system, specifically Syteline
Ability to develop and maintain professional and dependable relationships with internal and external clients.
Must be able to function in a fast pace, team focused environment.
Experience with various contract types, including Fixed-price, Time and Material, Cost Reimbursable, and IDIQs.
Familiarity with US Government Contract Administration including FAR and DFAR regulations and TINA requirements.
Knowledge of engineering and manufacturing processes.
Excellent verbal and written communication skills.

 

Physical Requirements:Requires working indoors in environmentally controlled conditions
Requires wearing common protective or safety equipment
Includes exposure to sounds and noise levels that are distracting or uncomfortable
Requires repetitive movement
Requires sitting for extended periods of time
