Job Summary

Trane has an exciting new opportunity to join our organization as a Junior Administrator I in Calgary Alberta HVAC Service Group.

As a Service and Office Administrator I, under limited supervision, you are responsible for office administrative and project set up and seeing them through to full completion with direct responsibility for project execution, to accomplish specific goals in a given time frame and with limited resources. This includes project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. Providing support and administrative support to the Warranty Claims Teams to ensure business objectives. Office responsibilities include assisting the AR/AP teams, EHS Team, and first point of contact with external customers, scheduling and organizing meetings and events. This position is required to closely interact with customers, Project Managers, Warranty Claim Specialists, Office Administrators, and other assigned project staff to ensure the timely completion of each project.

Responsibilities Include The Following And Other Duties As Assigned
Plans and reviews assigned projects, establishes schedules and project parameters and sets procedures to accomplish system goals.
Sets-up service agreements in system application based on transition documents.
Establishes and measures internal service process and associated compliance.
Maintains customer satisfaction by investigating concerns, implementing corrective action, and communicating with customers and assigned staff.
Connects and communicates with customers and their representatives, including building owners, mechanical contractors, other trades, subcontractors, and field support staff.
Schedule and participate in internal project team meetings to ensure accurate transfer of information.
Assist AR/AP teams with timely reports and communication to ensure key metrics are met
Schedule, coordinate and organize customer visits, events to drive customer engagement and satisfaction
Validates cost to date and reconciles project data in business system.
Reconciliation of purchase order discrepancies to support the Service fulfillment process.
Reviews billing backlog and coordinates/communicates with Project Managers, HVAC Field Technicians, customers, and Trane claims as necessary to resolve obstacles.
Support Warranty Claims Specialist with timely completion of warranty claims within the organization, and with outside vendors
Schedule meetings, create agenda, meeting minutes and distribute to key team members
Supporting the business in creating marketing presentations for trade shows and customer events.

Qualifications
One-year certificate from college or technical school; or three (3) plus years of related experience and/ or training; or equivalent combination of education and experience.
Participate in and contribute to lean improvements activities
Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
Proven experience prioritizing tasks in order to meet tight deadlines within a high-paced environment.
Familiarity with the operation of HVAC Systems preferred not required.
Flexibility to work overtime/ weekends, as required.
