Position Summary

Effective September 7th, 2021 all applicants must provide proof of full vaccination against Covid-19 (in the form of watermark receipts from the provincial portal) or provide written proof of a medical or religious reason for not being fully vaccinated as per the provincial direction as set out by the CMOH Directive 6.

Reporting to the Manager, Finance the payroll assistant is responsible for the regular bi-weekly payroll processing. The payroll assistant works as part of a team to ensure payroll is completed in an accurate and timely fashion while maintaining established Hospital standards and representing the service at all times in a professional and courteous manner.

Primary Responsibilities

  • Data input of time sheets and pay adjustments.
  • Process new hires, transfers, terminations, retirements, rate and benefit changes.
  • Maintenance of employee payroll files
  • Timely posting of pay to the general ledger and transfer of funds.
  • Distribution of employee pay statements.
  • Preparation of Record of Employment (ROEs).
  • Processing of manual and special payments.
  • Ensure accurate calculation and payment of supplements, retroactive and vacation pays.
  • Reconciliation of payroll related accounts.
  • Investigation, analysis and year end reporting of employee pension contributions.
  • Preparation, reconciliation and timely remittance of payroll deductions.
  • Reconciliation of pay registers and bank transfers.
  • Responsible for ensuring timely investigation and resolution of all payroll inquiries.
  • Preparation, reconciliation and distribution of T4 slips.
  • Administration of pay garnishments.
  • Telephone/ E-mail/Voice-mail communication and correspondence as requested

Qualifications

  • Certified Payroll Practitioner (Canadian Payroll Association)
  • Minimum Two (2) years payroll experience
  • Minimum Two (2) year business diploma or degree in Accounting or a related field.
  • Demonstrated proficiency in Accounting, Microsoft Excel, Word and Outlook.
  • Experience with Meditech HRIS an asset.
  • Understanding of MIS Guidelines an asset
  • Ability to prioritize to meet absolute deadlines in a fast paced environment
  • Excellent communication and customer service skills required.
  • Excellent interpersonal and organizational skills
  • Adaptable to change and performs well under stress
  • High level of speed and accuracy in processing payroll transactions is required due to volumes processed.
  • Ability to think through payroll related issues and devise solutions
