Staff Accountant

This position contributes to the calling of the organization by providing financial services including general accounting, payroll administration, maintenance of coding structure in all systems plus providing budget analysis.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential Finance Support Duties:

  • Maintain accounting coding structure in all financial systems including ERP, payroll systems, CRM, expense management and other integrated software.
  • Prepare monthly workers compensation, benefit and labor allocations for US and US paid foreign staff to record in ERP system.
  • Sets up new beneficiaries for wire transfer.
  • Record monthly Gifts-in-Kind transactions.
  • Reconciles US bank accounts and records various fees charged to the account.
  • Reconcile travel advances on a monthly basis.
  • Reconcile credit card imports from Expense reporting software and imports to ERP system.
  • Assist with providing detail supporting documents for annual audit.

Essential Payroll Duties:

  • Review bi-weekly online time and attendance processing and interface with payroll service, as necessary.
  • Review and approve payroll prior to transmission and validate confirmed reports.
  • Research and resolve problems, and liaison with payroll service provider.
  • Review salary and benefit allocations and corresponding journal entry to ensure personnel costs are accurately and properly reflected in the organizations financial statements.
  • Review bi-weekly 401(k) data file for submission and coordinate with 401K provider as necessary.
  • Prepare annual 401(k) compliance and audit data.
  • File for state registrations to for employment taxes.
  • Process final paychecks.

Other Finance Duties:

  • Provide advisory support to the Accounts Payables Associates
  • Coordinate new hire setup in finance systems.
  • Maintain payroll software for Labor Allocations and Labor Allocations Profiles
  • Manage credit cards provided to employees. Including set up, cancel, troubleshoot, and training.
  • Maintain the credit card policies and procedures.
  • When appropriate, incorporate the use of volunteers in daily job functions.
  • Primary back-up for Accounts Payable
  • Other duties as assigned.
  • Support safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, Child & Vulnerable Adult protection, and harassment-free workplace policies.

EDUCATION, LICENSES, & CERTIFICATIONS

Required:

  • Bachelors degree in finance, accounting, or closely related field.
  • Valid passport.
  • Valid driver license

EXPERIENCE

Preferred:

  • Experience in working with ERP systems
  • Three years of accounting or finance experience preferably with an NGO.
  • 3 years experience with Accounts Payable and payroll.
  • Experience in Paycom or similar online timekeeping system.

  • General knowledge of accounts payable.
  • Knowledge of payroll administration
  • Knowledge of multi-state payroll tax requirements
  • Demonstrated ability to prepare and analyze complex financial reports.
  • Ability to identify and capitalize on new or improved ways to leverage Medical Teams digital tools to improve the quality and effectiveness of work processes.
  • Ability to maintain financial records on a computer-based accounting system.
  • Ability to learn new technologies quickly and navigate a complex business environment.
  • Ability to efficiently and effectively handle multiple and shifting priorities while meeting deadlines.
  • Detail oriented with an ability to maintain accurate records.
  • Ability to plan, organize, and follow-through.
  • Ability to maintain confidentiality of donor and personnel information.
  • Ability to handle multiple projects simultaneously; flexible.
  • Flexibility to put in hours needed to meet tight deadlines
  • Ability to provide excellent service, including being able to address complex matters, implement and communicate changes and coach teammates on how to fully employ technology.
  • Willing to work in a hands-on, informal management environment.
  • Ability to operate well in a fast-paced work environment.
  • Superior communicator. Able to communicate professionally and effectively at all levels within the organization, as well as externally, both in writing and verbally.
  • Advanced skills in Unit 4 or similar ERP system, Dynamics CRM or similar CRM system, expense management systems, payroll/HR systems and Microsoft Office applications.
