We are seeking an experienced nonprofit administrative support professional for our client, a prominant environmental advocacy nonprofit. This is a direct hire opportunity.

We are seeking candidates with previous experience directly supporting a senior staff member/C-level staff member.

Candidates must be in the Washington, DC area and able to work in office, as needed (hybrid). The selected candidate must also be able to show proof of Covid-19 vaccination and booster.

Job Duties to Include:

  • Act as primary scheduler for the Chief of Philanthropy’s calendar, managing all aspects of scheduling, meeting space, preparing agendas, disseminating pertinent materials pertaining to meetings and events, and articulating changes and updates to all concerned parties as appropriate; captures follow-up actions and ensures completion.
  • Develop strong partnerships with departments and other essential external partners.
  • Interface with board members, donors, and prospects with professionalism and discretion.
  • Provide travel support (travel itineraries, trip portfolios, leave behinds, process expense reports in Concur system);
  • Draft correspondence and communication materials on behalf of executive.
  • Assemble briefing materials in support of CPO’S daily schedule.
  • Prepare monthly business expense reports (Concur).
  • Provide special events support as requested.

Preferred education and experience:

  • Minimum of 5+ years of experience in administrative support roles
  • Bachelor’s Degree preferred
  • Experience with scheduling executive calendars
  • Previous work experience in mission-oriented organization is highly desired
  • Experience using Concur expense management systems desired
  • Strong computer skills (MS Office – Excel, Word, PowerPoint)
  • Extreme attention to detail and ability to accurately prepare and proof materials, calendars and correspondence
