The Safety and Security Specialist provides valuable support for the planning and implementation of travel, the design and implementation of safe humanitarian aid programmes and the planning and delivery of work to upskill local and national NGO implementing partners. In short, the role helps to keep people both situationally-aware and safe.

The role includes management of our inventory of communications and medical equipment, help in assembling briefing documents, advisory services relating to the development of security plans, updating and creation of Standard Operating Procedures, management of the Incident Review process, and other tasks aimed at ensuring staff and volunteers are always ready to travel at short notice. This roll will form a key constituent part of the organisation’s Travel Support Team but will have additional responsibilities in their own right, supporting qualitative and quantitative information needs and providing specialist risk advice. A deployable post, the holder will need to be available to travel at short notice, either as part of a generalist programme team planning and/or conducting humanitarian relief operations or, as a specialist, to deliver bespoke safety and security advice and training to implementing partners. This recruitment is taking place during a review of our strategy for the next 4 years, which includes our operational approaches. ShelterBox is a learning organisation that constantly seeks to refine and improve its ways of working. Candidates should, therefore, expect some developments in the role through time.

ShelterBox is seeking a bright, motivated and proactive individual with attention to detail and diligence at the forefront of their skills. The successful candidate will be highly organised, comfortable with numbers and data, have strong analytical skills, and be an excellent communicator and team player. They should be able to communicate succinctly and effectively in written and verbal English.

We are looking for someone to fit into the dynamic and, often demanding, work of a small team responsible for keeping people safe, who can balance multiple tasks with competing deadlines. It is expected that the successful candidate will have a deep and demonstrable interest in global and humanitarian affairs.

Duties will include but not be limited to:

Safety and Security

  • Writing and refining Standard Operating Procedures and managing the library of safety and security policies.
  • Oversight of the Incident and Near Miss reporting process as it relates to safety and security.
  • Assisting in relationship management with respect to risk services (e.g., International SOS) and the S&S network (e.g., other NGOs, GISF, UK SFP Network, INSO).
  • Supporting the drafting of Security Plans and Risk Assessments by liaising with security-intelligence providers and analysing data sets.
  • Supporting the Crisis Management Team as required.
  • Reporting verbally or in written format to internal and external audiences as required.
  • Ensuring adherence to ShelterBox operational procedures and policies, notably those relating to safeguarding, safety and security.
  • Deputising for the Head of Safety and Security.
  • Developing Safety and Security training materials for staff, volunteers, partners, and other parties as required.

Travel Security Management (TSM)

  • Helping to manage the pre-deployment preparation process.
  • Arranging and hosting key pre-deployment meetings, including Pre-Deployment Briefs, Security Briefs and ‘Bad Luck’ sessions.
  • Ensuring colleagues have completed all their individual pre-deployment administration.
  • Drafting and sending out Deployment/Travel Instructions.
  • Providing Safety & Security oversight for deployed colleagues from HQ, when rostered.
  • Maintaining open communication channels and a robust security check-in procedure for deployed colleagues.
  • Overseeing and conducting the Post-Travel Review process, as it is required.

Equipment Husbandry

  • Maintaining and managing an inventory of communications and medical equipment for deployment and/or international travel.
  • Facilitating the equipment procurement process by researching the operational requirement and searching for suitable suppliers.
  • Enabling IT related to communications equipment and synchronising Garmin InReach systems prior to travel, such that equipment will work at the destination.
  • Ensuring communications equipment is wiped by IT upon its return in accordance with security and data policies.

International Programmes Directorate (IPD) support

  • Supporting IPD in the delivery of programmes, upholding minimum standards and best practice.
  • Assisting Head of Emergency Responses, the Directors of Regional Programmes, and Programme Managers/Emergency Coordinators in responding to information requests.
  • Providing administrative support to other projects and activities as required, for example, assisting with Learning and Development projects in support of operational goals.
  • Supporting the research and monitoring of current disasters around the world to assess the need for emergency shelter.
  • Providing translation services (support as required)

Organisational Updates, Internal Comms, External Engagement:

  • Maintaining a strong overall understanding of each of the organisation’s charitable programmes.
  • Supporting internal communication of International Programmes through presentations, briefings, and reports.
  • Writing the weekly International Programmes Overview (IPO) and convene the weekly International Programmes Updates.

Other responsibilities:

  • Maintaining own deployment readiness.
  • Ensuring administration is kept up to date and filing is in accordance with policy.
  • Supporting efforts to implement strategic review outcomes.
  • Others as may be assigned by IPD/line management, and which are deemed appropriate to the level of the post.
