2. Background/Context

Plan International is looking for a freelance designer to work with our in-house digital designer and developer at the Global Hub of Plan International to increase our overall capacity to deliver design services supporting communications and advocacy activities on an ongoing basis, and also to provide a higher level of design services during certain peak times for communications or campaigns.

Our requirement is for an individual, and not an agency, as we expect the designer to learn and understand our usual requirements and preferences through working directly with our in-house team. They should be able to work efficiently alongside our- in-house team with a modest level of briefing and oversight.

3. Description & Objectives

Scope of work

The Consultant will meet regularly with the digital designer to be briefed on upcoming projects and timelines. The volume of work will vary. We expect we’d require at least 2 days’ work a month, and guaranteed availability for more at peak times in February, August and December, which could increase workload to 5-10 days’ worth. Work will be planned ahead but we will also need the freelancer to allow some flexibility to respond to last minute urgent requests.

The Consultant will be asked to design for digital (and sometimes print) campaigns on projects such as (but not limited to):

  • report design

  • social media graphics

  • infographics

  • social media banners, email banners

  • Animated graphics (gifs or short videos)

  • Graphics for website or newsletter

  • Diagrams / charts

The Consultant will then provide the editable artwork (e.g. packaged indd, ai or psd) so it can be shared with the rest of organisation for their own edits.

Requirements

Software:

Proficient in:

  • Creative Cloud – Photoshop, Illustrator, Indesign

  • Microsoft Word and Powerpoint (template design)

  • Desirable: Premiere, After Effects, Rush, Illustration skills

Design skills:

  • Understand design principles and keeps up to date with digital trends

  • Ability to think outside the box but within brand guidelines

  • Be able to translate complex ideas or concepts into infographics, diagrams, maps

  • Understand requirements when working for print or for digital

  • Brand champion

Productivity skills:

  • Detail oriented with strong organisational skills

  • Can work under tight deadlines

  • Be able to work within brief

  • Accountable – be able to report and collaborate to ensure timely production

Other

  • Must be able to work in English

  • Must own their own Creative Cloud account and have good internet connection (reliable / high speed broadband)

  • Desirable: understanding of French and Spanish

  • Desirable: editorial skills

5. Budget

Due to Procurement process and regulation, it is not possible to share the actual budget, however, include as much detail as possible in your proposal.

6. Expected qualifications of Consultant

The Consultant must have some experience working with a global audience in mind and on how to approach sensitive, potentially triggering subjects such as child marriage or female genital mutilation. They must have also a clear understanding on child protection.

This is a remote position. We are encouraging anyone who meet our skills and quality requirements, who owns Creative Cloud account and have access to a reliable high speed internet connection to apply for this contract. We are especially welcoming young women from low and middle-income countries to submit proposals.

    9. Submission of offers

10. Evaluation of offers

Shortlisted suppliers may be invited to discuss their proposals in more detail at Plan’s discretion.

Plan International, at its sole discretion, will select the successful RFQ.

Plan international shall be free to:

· Accept the whole, or part only, of any submission

· Accept none of the proposals

· Republish this Request for Quotations

Plan International reserves the right to keep confidential the circumstances that have been considered for the selection of the offers.

Part of the evaluation process may include a presentation from the supplier.

Value for money is very important to Plan International, as every additional £ saved is money that we can use on our humanitarian and development work throughout the world.

Plan International may award multiple contracts and all contracts will be non-exclusive. **

11. Contract & Payment terms

Please note that, if successful, Plan International’s standard terms of payment are 30 days after the end of the month of receipt of invoice, or after acceptance of the Goods/Services/Works, if later.

The successful Consultant will be awarded with a non-exclusive Long Term Agreement of up to 3 years with an initial term of 1 year. Contract renewal is subject to satisfactory performance.

12. IR35 Requirements – Only applicable for UK based or connections to the UK Consultants

As of April 2021, all Global Hub UK-based contractors (Consultant/personal service company/agency/intermediary) employing “people” in their chain to deliver serves to Plan International must follow a strict process of IR35 determination.

Plan Limited will conduct a CES tool on all relevant shortlisted proposers as outlined above to determine whether they fall inside or outside IR35.

13. Plan International’s Ethical & Environmental Statement

The supplier should establish environmental standards and good practices that follow the principles of ISO 14001 Environmental Management Systems, and in particular to ensure compliance with environmental legislation (if applicable)

14. Clarifications

The onus is on the invited individual/companies to ensure that its offer is complete and meets Plan International’s requirements. Failure to comply may lead to the offer being rejected. Please therefore ensure that you read this document carefully and answer fully all questions asked.
