JOB SUMMARY

As a small but rapidly growing global health organization, the Receptionist will be responsible for patient scheduling at the MedGlobal Clinic in Guayaquil, Ecuador to ensure proper number of patients per medical specialist during the days of service.

ESSENTIAL DUTIES, RESPONSIBILITIES

  • Register or create users in the MedGlobal medical record system taking into account each of the necessary data per patent.
  • Create appointments for the doctor and nutritionist.
  • Assign appointments to the general physician and nutritionist to cover all operating hours during operating days.
  • Fill the appointment slots at least 2 months in advance.
  • Receive and welcome visitors.
  • Be in charge of the MedGlobal phone line and create appointments as needed.
  • Be in charge of the customer service line and communicate any complaint to the MedGlobal Project coordinator and clinic coordinator.
  • Check the complaint box weekly and communicate any complaint to the MedGlobal Project Coordinator and clinic coordinator.
  • Provide general information and refer all medical information to the general physician and any other topic to the MedGlobal Project coordinator and clinic coordinator.
  • Update the telephone directory, record changes and distribute updates as necessary.
  • Distribute and handle all incoming and outgoing correspondence.
  • Keep the reception premises neat and tidy.
  • Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone; answering or referring inquiries.
  • Keeps patient appointments on schedule by notifying the provider of patient’s arrival; reviewing service delivery compared to schedule; reminding the provider of service delays.
  • Comforts patients by anticipating patients, anxieties, answering patients’ questions and maintaining the reception area.
  • Be able to communicate the services available when an appointment is being scheduled.
  • Maintains patient accounts by obtaining, recording, and updating personal information.
  • Communicate immediately to the nurse and general physician should an emergency occur at the waiting area in order.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Maintain a formal and friendly manner when communicating with beneficiaries
  • Contribute to MedGlobal social media presence.
  • Approach patients for social media presence and communicate this to the MedGlobal Country Representative and MedGlobal Project Director.
  • Provide patients with information about referral systems available when needed.
  • Collaborate with MedGlobal itinerant activities at short-term medical interventions or any other location established by MedGlobal.
  • Comply with other activities related to this role requested by MedGlobal.
  • Maintain excellent interpersonal relationships.
  • Comply with 40 hours of work per week.

QUALIFICATIONS

  • High school diploma
  • Computer literacy
  • Domain of microsoft package, gmail, google drive and Electronic Medical Records
  • 3-5 years minimum work experience related.
  • Work with NGO´s or migrant population will be considered but not necessary.
