Responsibilities

  • Greet all visitors professionally and set the tone for a positive and engaged culture.
  • Conduct research, prepare reports, handle information requests, and perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and schedule meetings.
  • Maintain calendars which would include scheduling meetings and appointments (both personal and business), book meeting space and handle meal requirements as needed.
  • Set up and maintain organized filing systems.
  • Screen phone calls/solicitors answering, screening and returning calls thoroughly or directs calls to other appropriate parties or takes messages.
  • Coordinate travel, hotel and car reservations; prepare itineraries as needed.
  • Process in-coming mail; open, stamp, sort for priorities. Distribute and/or handle items not requiring supervisor’s attention.
  • Work on special assignments and support other departments as needed.
  • Performs general office duties such as ordering supplies, maintaining records, and performs basic bookkeeping work.

Qualifications

  • 2 years business/secretarial school or equivalent combinations of training and experience.
  • Advanced knowledge of general business and company procedures.
  • Proficient typing (65-70 WPM) and organizational skills required.
  • Excellent communication and interpersonal skills are essential.
  • Ability to maintain confidentiality at all times is critical.
