The Opportunity

The Proposal Writing Coordinator will serve as the primary coordinator for proposal development. S/he will also ensure appropriate consultation with the country team during preparation and submission, and provide capacity building support to staff where required specifically on proposal development. S/he will work closely with the Resource Mobilization team (RMU), the technical teams (i.e. the regional Technical Advisors, MEAL, PQEI, Operations, Partnership) and the staff in Supply Chain, HR, Security, Finance and Awards.

The Proposal Writing Coordinator will support the Resource Mobilization Unit (RMU), leading the development of proposals and concept notes in the Asia Regional Office (ARO). Supervised by the Regional Head of Resource Mobilization, the role will be responsible for leading proposal development processes, ensuring coherence between project documents, including log frames, narrative proposals and budgets and for providing direct writing support during proposal development processes. This includes coordination among partners in consortia arrangements where relevant.

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly

Key Responsibilities

Proposal Development:

  • The role has the primary responsibility in proposal coordination with Resource Mobilization, PQEI Technical Specialists including regional technical advisors, MEAL, Programme Operations (for field team inputs, logistics requirements, costing’s, etc.), Country office (CO) teams, Security, Awards Management, Finance & Awards, and HR (for staffing requirements);
  • Develop proposals and concept notes that meet ARO’s quality standards, with the aim to successfully secure donor funding (inc. for the region’s Must Wins, strategically important grants/bids)
  • Produce proposal development schedules and track timelines, ensuring and facilitating coordination amongst teams – Resource Mobilization, PQEI, Programme Operations (Including HPIs), Finance, Supply Chain, HR, and Security;
  • Coordinate with relevant staff and provide additionally requested information in relation to proposals and reports, from donor, SCI or Save the Children members promptly and accurately and make necessary revisions based on feedback;
  • Work closely with the Finance and Awards teams, CO PDQ and RO PQEI departments, Operations, Supply Chain as well as relevant technical staff to develop proposal budgets;
  • Lead on ensuring internal sign off processes are undertaken in timely manner;
  • Represent Save the Children as a generalist, alongside technical experts, in proposal development meetings and discussions;
  • Coordinate Value for Money calculations in proposal development, as required by donors;
  • Draft key sections of the proposals that are standard inputs – such as capability statements; country context and Programme experience, while drawing on the expertise of technical specialists, MEAL, Operations, Finance, HR and Security.

Information Management

  • Ensure that all appropriate donor and Save the Children formats for proposals are available to relevant staff, as well as a clear understanding of donor requirements.
