This position is preferably based in Arlington, Virginia or Burlington, Vermont, with consideration of remote-work from US-based locations.

The Project Process and Systems Coordinator (PPSC) position is engaged with a variety of departments, providing exposure to diverse operations across the company. The position is full-time (32 hours/week is possible). This position assists the shared services unit’s team managers to support department responsibilities and annual work plan activities to develop, continuously improve and/or overhaul, and maintain all project management systems for both home office and field office staff use. This position will take on an administrative role with several online systems that the department oversees that support project management resources and training. This often includes engagement with various stakeholders including content owners and sector staff. The focus is on project management systems, however, there may be requests to support improvements with operational systems or new business development systems.

Responsibilities:

Has primary responsibility for working with BUS team members to supporting building, updating or streamlining of all necessary project management systems, ensuring that they are relevant and effective. These systems include but are not at all limited to the following examples:

-Manuals and handbooks including start-up, close-out, local accounting, local procurement, allowances, project finance, security, local personnel and others

-All project-related SOPs (approximately 70 currently exist)

-Templates and job aids for frequently used resources including various types of requests for approval, local subcontracting scopes of work, employee agreements, stakeholder management plan, risk management matrix, lessons learned documentation

*Performs regular maintenance of project management systems once they meet quality standards to ensure that they remain relevant, are improved and streamlined to keep pace with changes from the client, industry or company.

*Incorporate audit findings from internal/external auditors to ensure compliance and to continuously improve systems, based on lessons learned.

*Assists with the administration of online systems that support the department and company (including but not limited to SharePoint, our Learning Management System Brainier, Salesforce, and KnowledgeWave).

*Provides administrative support for development and execution of all home office project management trainings.

*Supports content development and partnering with content owners to develop training and ensure consistency in field office project management training.

*Manage the quarterly process for awarding capacity building scholarships to project staff located around the world each quarter.

Qualifications:

*Bachelor’s degree in a related field required

*Minimum of 1-2 years of professional experience

*Experience working on or with project management teams on USAID contracts or other client contracts

*Ability to think critically and creatively to engage in the development of new systems and continuously improve existing systems

*Short or long-term experience in working with project teams in the field helpful

*Self-directed and able to manage own workload and priorities

*Strong interpersonal skills; demonstrated experience collaborating and communicating successfully with a variety of people and teams

*High level of reliability and follow-through

*Very strong organizational skills, including the ability to plan and schedule complex tasks

*High attention to detail

*Ability to travel as some domestic and international travel may be required

*High-level proficiency in MS Office applications, specifically SharePoint, Teams, Word, and Excel as well as work processing capability

*Ability to work in the US without employer sponsorship.
