Background

War Child Holland is presently scaling two of its interventions: Team up and Can’t Wait to learn.

Can’t Wait to Learn provides a quality evidence-based solution to close the education gap for millions of children affected by conflict. This self-paced digital education programme covering grade 1-3, offers children the opportunity to (continue to) learn to read, write and count, through educational games that are specifically created for and with these young children. Can’t Wait to Learn works together with Ministries of Education around the world to ensure that the learning objectives are in line with their national curricula, most recently for children in and outside of Ukraine.

TeamUp is a psychosocial support intervention developed by War Child Holland, Save the Children Netherlands and UNICEF Netherlands to meet the urgent psychosocial needs of refugee children. TeamUp is an inclusive psychosocial support group intervention with structured movement-based group activities based on play, movement, and body awareness for all children aged six to 18 years. TeamUp decreases stress and increases wellbeing. Over the past years, TeamUp has grown rapidly and has now developed a scaling strategy with the ambition to reach one million children by 2025.

Your Challenge

You are a dedicated administrator with excellent experience supporting the project management cycle and improving services.

You will be responsible for ensuring organizational and administrative support to help prepare and carry out the CWTL and TeamUp emergency responses due to the war in Ukraine. Once the responses are established, the position might broaden to other aspects of the programmes, especially their transition to scale.

You will report directly to the Can’t Wait to Learn Ukraine Response Project Manager until the Ukraine response is established and to the TeamUp Program Coordinator. You will liaise with internal stakeholders and coordinate processes with some external stakeholders such as suppliers and contractors, on behalf of the 2 Global Programmes.

Your Responsibilities

Providing project support

· Carries out a variety of subject-matter work within the project team to help prepare, carry out and complete the project.

· Helps the Project Manager of the Ukraine Response to prepare work-plans, work-flows, communication materials, budgets and other documents for donors and partners.

· Support the development of internal and external reports periodic internal and other reports for the project’s accounts and records.

· Coordinates projects and sub-projects by monitoring progress, identifying budget overruns and reporting on problems as they arise.

· Advises on, assists with and carries out matters relating to setting up the project’s accounts and records for new projects.

· Prepares subject matter for meetings, keeps minutes if necessary and tracks arrangements to ensure that they are fulfilled.

Maintaining contacts and providing administrative and organisational support to internal and external stakeholders

· Serves as a point of contact for internal and external stakeholders on matters concerning the work on the project. Provides information.

· Handles some or all of the communications to stakeholders about the work on the project and its progress, in consultation with the line manager.

· Follow up on logistical matters relating to trainings, meetings and visits of partners or donors both remote meetings and travels of staff of the project.

· Participates in various internal and external meetings and consultations.

Operational support

· Coordinates and supports procurement and recruitment processes in a timely manner, in line with internal and donor requirements.

· Supports financial administration of the programme.

· Advises on, assists with and carries out matters relating to setting up the project’s accounts and records for new projects.

· Maintains programme related filing up to date and provides access to relevant stakeholders.

· Carries out administration and filing for grant management processes.

Improving services

· Identifies opportunities to improve the standard of professionalism in the work on projects.

· Shares new learnings and experiences with the rest of the organisation.

Your Profile

· Intellectual and professional capabilities at or above VET college (senior secondary vocational education and training) level.

· Understanding of project-based working methods.

· Knowledge and experience in coordinating/ supporting multi-stakeholder projects.

· Fluency in English is required. Fluency in Ukrainian, Romanian, or Russian is desirable.

· Possesses the following transversal competencies: planning and organising, accuracy, result orientation, problem solving, cultural sensitivity, and flexibility.

· Affinity with War Child’s mandate, mission, and core values (Impact, Creativity, Inspiration and Integrity).

Our offer

Location: The Netherlands, within 2 hours travel by Public Transport from the War Child Holland Office. The successful candidate needs to be eligible to work in that country. Preference will be given to local candidates.

Contract: War Child offers a 2-year contract with the intention to prolong after that.
