Mobile Info Team is determined to work towards a future where asylum seekers and refugees in Greece have fair access to asylum and are treated with the respect their humanity deserves. We assist families and individual asylum seekers and refugees throughout Greece by providing one on one support through our digital hotlines and provide long term case support for various asylum and family reunification cases. We research legal and political developments relevant to migrants in Greece and Europe and disseminate information through our digital hotlines and Facebook page (www.facebook.com/mobileinfoteam). We carry out advocacy aimed at ensuring fair and efficient access to asylum in Greece and work as part of the Border Violence Monitoring Network advocating against push backs and border violence.

This key role within MIT is an excellent opportunity to help grow a well established grassroots organisation that has been providing support in (Northern) Greece for over 7 years. You will be a key contributor to running the operations of the project, setting its objectives and driving its further professionalisation and growth.

What we are looking for:

A proactive, enthusiastic, strategic supporter of social justice that has experience in programme/project management or coordination, ideally in the humanitarian aid sector in Greece. A people person, motivator and strong communicator able to lead and drive success independently.

Duties and Responsibilities:

Recruitment & HR

  • Manage and oversee the recruitment of all positions in MIT including volunteers, translators and supporting roles according to safe recruitment guidelines
  • Oversee adherence to, training on and further development of the policy framework including safeguarding, code of conduct and volunteer agreements
  • Act as the designated safeguarding lead for MIT
  • Act as HR reference in the team including managing and supporting all members of the team in a direct and/or coaching capacity, overseeing performance management and conflict resolution
  • Support and mentor the core team to further develop in terms of planning, leadership, quality assurance and personal development
  • Ensure a positive working environment, good team dynamics and ensure wellbeing support is easily available
  • Ensure capacity building and training of the team

Project management

  • Contribute to formulating medium to long term strategic objectives and monitoring progress in close cooperation with the coordination team and external facilitators
  • Coordinate and supervise the research, planning and execution of projects aimed at organisational improvement and programme development
  • Cooperate with the core team to ensure operational objectives meet strategic plans
  • Drive programme development in line with the changing context and strategic objectives
  • Complete risk assessments on the project
  • Provide contextual and technical advice and support the implementation of agreed steps in the different activities of the project, seeking support of external expertise as needed

External coordination

  • Liaise with other actors and stakeholders operating in the field, attend meetings and contribute to the overall grassroots interventions in Greece
  • Identify opportunities to collaborate and coordinate efforts with other actors including capacity building and outreach activities

General administration

  • Manage and oversee the administrative side of the operations including scheduling, allocating resources etc.
  • Supervise and coordinate the day to day activities, ensuring that technical quality and standards are respected
  • Provide regular and timely updates on all aspects of the project to the director, coordination team, core team and the team as a whole in order to facilitate priority setting and ensuring transparency
  • Plan and manage the internal communication structures by organising and facilitating meetings, action plans, signal channels etc.
  • Oversee and manage the assets, devices and information infrastructure of the organisation
  • Contribute to the overall communications strategy by supporting website updates, social media, reports etc in cooperation with core team members
  • General office administration and management tasks

Profile:

  • Willing to relocate immediately to Thessaloniki, Greece
  • At least 3 years of experience in team management, operational coordination and project management, ideally within humanitarian aid project
  • Strong interest and affinity with humanitarian/NGO service delivery in the Greek refugee context and legal framework
  • Strong interpersonal skills, attune to group dynamics and emotions
  • Experience in managing & coaching multiple people
  • Ability to set priorities and think strategically across the short, medium and long term
  • Excellent relationship management and negotiation skills and ability to translate the wishes and needs of multiple stakeholders into actions
  • Able to spot opportunities for growth and quality improvement, able to solve challenges and create solutions
  • Excellent written and verbal communication skills with an excellent command of English
  • Tech savvy and digital problem solver, awareness of digital security is an asset
  • Strong independent work ethic that can drive completion of projects
  • Adept at working in variable context, comfortable with unpredictability and change
  • Hands-on mentality, if its got to be done and it’s no one’s responsibility it will probably be you
  • Knowledge of Greek language is considered an asset
  • Must be eligible to reside and work in the EU / Greece

Commitment:

To maintain organisational stability we are looking for a commitment of at least 6 months, starting as soon as possible. The role is based in Thessaloniki. Preference will be given to candidates who are able to commit for longer.
