Project Clerk (Logistics)

Context:

Under the overall supervision of the Director, Coordination Office for the Mediterranean, Chief of Mission in Italy and Malta, and the direct supervision of the Project Manager and in close coordination with the staff of the Facilitated Migration and Vulnerable Groups Unit, the successful candidate will be responsible and accountable for the tasks specified below.

Core Functions / Responsibilities:

  • Identify markets and commodities needed by the projects’ beneficiaries in relation to the project and support market assessment during project implementation.
  • Perform vendors’ mapping – reception services, non-food items and non-perishable food stocks, ground transportation – according to the needs of projects’ beneficiaries and the project requirements, participate in vendors’ orientation sessions and provide information about the objectives of the projects.
  • Support the maintenance of databases to track beneficiaries’ assistance.
  • Provide general/clerical assistance in the implementation of projects’ activities.
  • Retrieve, compile, summarize, and present information/data on specific projects’ topics.
  • Support administrative coordination for project implementation, involving liaison with diverse organizational units or external parties to initiate requests, obtain necessary clearances, process, and follow-up on administrative actions.
  • Respond to general information requests and inquiries; set up and maintain files/records.
  • Perform other related duties as assigned.

Required Qualifications and Experience:

Education:

High school diploma with three years of relevant experience

Experience:

  • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations;
  • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.

Skills:

  • In depth knowledge of market research and procurement procedures
  • Knowledge and use of XL and other database

Languages:

  • Fluency in Italian and English (oral and written) is required;
  • Knowledge of French is considered as an asset.
