PROJECT DESCRIPTION

A project assistant is primarily in charge of performing daily administrative support tasks in an office or field based on the projects needed in the Environmental Sector. Her/His responsibility includes preparing and processing documentation, coordinating services and procedures, correspondence, and maintaining records of all transactions, workers timesheets, items listed inside the storage… etc. S/he may also perform managerial duties if necessary. Furthermore, as a Project Assistant, keeping an active communication line with staff, and coordinating every step while adhering to Foundation’s policies and standards are essential. The Project Assistant supports the implementation of project activities, related to his/her country of posting. S/he carries out tasks supporting project development and implementation and provides administrative support to the project management processes.

The Project Assistant works under the direct supervision of the Project Coordinator, ensuring a smooth and timely delivery of project activities under the project’s work plan and collaboratively with all members of the Program Team either in the Headquarters, or other Project Offices.

 

RESPONSIBILITIES AND ACCOUNTABILITIES

Specific duties will include the following:

  1. Oversee the implementation of the project’s activities in the field.
  2. Monitor the planting process at the field during the forestry season.
  3. Ensure needed equipment and materials are on hand to complete work on time and according to the program coordinator’s expectations.
  1. The Project Assistant should split the time between the office and field locations.
  2. Follow up on the project’s work plan, technical and monthly progress reports, and any problem in the field and present them to the Project Coordinator.
  3. Provides general support, and guidance, and serves as a focal point between the field and the office during project implementation.
  4. Research country development needs, challenges, and opportunities in the water, environment, and other topics, as needed.
  5. Organize meetings, workshops, and training courses and facilitate workshops, discussions, and consultations with communities and stakeholders under the projects.
  6. Compiles and prepares inputs to meetings, project reports, presentations, communication materials, and process activities to support recruitment.
  7. Undertake daily and timely communications and follow the project timeline.
  8. Additional duties and responsibilities as required by the Project Coordinator in other projects.

Qualifications & Preferred Skills

QUALIFICATIONS AND REQUIREMENTS

  • Bachelor’s degree in the college of agriculture and engineering sciences, college of environmental engineering, or any related field to the environment.
  • At least Two years of working experience in/with NGO/INGO.
  • Proficiency in using Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint.
  • Knowledge of climate change, water resources, and forestry is required.
  • Ability to function effectively under stressful conditions such as heavy workloads and deadlines.
  • Ability to travel with the project team for certain activities and requirements in other governorates.
  • Excellent research and analytical abilities and quantitative skills.
  • Strong written and oral communication skills in English.
  • Ability to multi-task.
  • Ability to work independently in a flexible small business environment.

 

LANGUAGES SKILLS REQUIRED

Fluency in Kurdish and English and Arabic, both spoken and written, is required.
