Job Summary

The IT/Logistics Assistant will work in direct support of all SP Programs in the Duhok base He/She will be responsible for the effective and timely maintenance and support of all Information and Communication Technology and support Logistic Department. He/She will assist in planning for future IT needs and logistical needs. the IT/Logistics Assistant will support all IT needs for Duhok base, Sinjar base and other locations as required by the line manager.

 

This position has a high volume of travel as he/she can go to different locations in Duhok, Sinjar, Mosul, and Erbil when needed. The IT/Logistics Assistant is expected to work for 2 days a week from Samaritan’s Purse location at Badre the other 3 days he will be working in Duhok office or travel to other locations if needed. Samaritan’s Purse provides all travel facilitations such as movement, accommodation and meal except for when the candidate is working at Badre site, Duhok where he/she need to fine a personal transportation to the site.

 

 Conduct themselves in accordance with the Samaritan’s Purse International Relief field operating manuals, policies, procedures and guidelines at all times. Performing all other tasks and responsibilities assigned for the benefit of Samaritan’s Purse with a generous and serving spirit.

 

 

Job Duties:

IT – INFORMATION AND COMMUNICATION TECHNOLOGY:

 

– Maintain, and support IT equipment and collaborate with local service and equipment providers. The equipment can include laptops, printers, scanners, copiers, servers, UPSs, wireless and wired networks, point-to-point connections, HF/VHF/UHF radios, GPS units, and any other IT equipment SPI acquires.

Ensure the security of and limited access to confidential data as required by local law, the Country Director, and/or IHQ.

-Ensure and maintain a stable Internet connection for each site that requires one.

-Assist and support SPI staff with daily issues and the use of IT equipment.

-Assist and train staff on the use of software and equipment (Microsoft Office, shared folders, radios, GPS units, etc.).

– Provide the IT Coordinator with weekly status updates, in addition to any in-country reporting requirements (to be determined by the manager).

-Perform any other duty that may be assigned by their manager and/or the technical advisor.

Track IT assets and update the fixed asset system.

 

PROCURUEMENT

 

*Performs field procurement, which includes direct procurement or getting quotations as needed. Buying the requested items, delivering items to the budget manager and maintaining good records and record keeping.

*Performs procurement paperwork including; RFQs, preparing procurement packages, preparing contracts, help in tenders as needed.

*Maintaining the procurement tracker and the file records and archiving.

*Maintaining the supplier’s database for Badre and surrounding areas. This includes keeping all suppliers up to date, adding new suppliers, vetting new suppliers and reporting good and bad experiences to the logistics management.

*Participates in market assessments, suppliers site visits and suppliers’ meetings for tender procurement.

*Supports other procurement teams with procurements from Badre and Duhok areas as needed.

*Supports the projects with the procurement planning in his/her duty station.

*Maintaining the procurement policy that is set by Samaritan’s Purse.

*Maintaining the procurement guidelines and abiding with the instructions coming from the operations team management.

*Preforms simple and complex payment packages.

*Will assist in the planning and execution of reception, storage, transport and distribution of equipment.

*Be available full-time during times of emergency response activation.

*Coordinates and works humbly with team members.

 

 

BASE MANAGEMENT

 

*The following duties are to support Duhok base only.

*Maintains base working and Samaritan’s Purse International Staff living quarters of the Duhok base.

*Coordinates with all contractors on a regular basis and maintains proper documentation for end-of-month payments (Paying all kinds of bills related to the SP facilities (electricity/water/generator/internet, etc.).

*Supports his/her team with procuring and coordinating all the cooking necessities as needed.

*Supports his/her team in leading cleaning staff and manages regular cleaning schedule for all spaces.

*Lead, manage, and track all Office and Team House maintenance for all electrical, heating/cooling systems, and physical structure.

*Supports his/her team in preforming all maintenance, repairs and enhancements needed for the office and team house.

*Keeps inventory and creates stock reports of office, cleaning, kitchen, and laundry supplies.

*Update staff about the work status of requests on a weekly basis.

*Maintains updated base tracker and conducts cost analysis of consumables.

*Maintains updated room tracker for living quarters and is a focal point for guests and visitors.

 

 

FLEET DUTIES

 

*The following duties are to support Duhok base only.

*Responsible for all Base Vehicles; service, maintenance and upkeep.

*Coordinating the scheduling of transportation for all Program teams, IFS staff, and visitors to his/her destination including duty station, beneficiary locations and Samaritan’s Purse Base designations.

*Check on maintenance times and ensures that maintenance is being provided for the owned vehicles.

*Coordinates with the program managers to design and provide their staff transport.

*Ensure that SPI vehicles are only driven by authorized SP drivers or staff.

*Submit spending request for vehicles maintenance to Area Coordinator for approval.

*Managing and overseeing rental vehicles and drivers and be the contact person with the contracted company.

*Managing and overseeing SPI generators which includes tacking the work hours, fuel, needs, maintenance, and all other related aspects to make sure that the generators are operating in a good condition at all times.

* Preforms all fleet payments.

* Maintains the fleet tracker and keeps it always up to date.

*Accurately and efficiently carry out any further duties as designated or assigned by the Line Manager.

 

ASSET MANAMGNET

 

*The following duties are to support Duhok base only.

*Receiving, inspecting, and verification of all incoming equipment, furniture, and supplies and scheduling deliveries to users.

*Tagging all furniture/equipment upon receipt from the supplier.  Update non-expendable property inventory records and track movement of furniture pieces.

*Support on physical assets count, updates, disposal. And preparing all the necessary documents and submit them to the management.

*Manage the asset count in his/her duty station.

*Preparation of inventory reports as required.

*Works with the In-country assets focal point for all asset management related aspects

Education / Experience Needed

– An advanced diploma (university degree or higher) in IT or a similar field of study.

– Possess relevant training in IT

– At least 2 years of appropriate IT experience.

– Proactive, determined, willing to learn and share knowledge and committed to Quality

– Languages: besides the local languages (Arabic and Kurdish) need good written and spoken English.

– Be a mature and proactive team player with a high level of integrity and an attitude for tolerance, flexibility, patience, creativity, motivation, and service.

– Demonstrate an ability to work under pressure while maintaining sound organizational, planning, and time management skills coupled with an attention to detail.

– Be willing to work outside of business hours when the need arises.

LANGUAGE 

Arabic, and English required (spoken and written), Kurdish is a plus.
