Our client, a family foundation, is seeking a Program Associate, Manager of Special Projects in the office of the CEO. This role reports to the CEO and will (1) help manage organization-wide processes (e.g., streamlining grant-making workflows, setting board meeting deadlines) and spearhead special projects for the CEO, as needed; and (2) support the Democracy Program. Workload will be distributed 50/50 between these areas. The ideal candidate is a self-starter, entrepreneurial, and ready to jump into any task with a positive attitude within a collaborative environment. Must have 1-2 years of experience at a foundation or other grant-making institutions.
The Foundation supports advocacy for social change that promotes human dignity and contributes to a more just, democratic, and environmentally sustainable world. The Trust currently makes grants in two program areas: democracy and the environment.

Responsibilities of the Program Associate, Manager of Special Projects:
– Help establish, track, and manage grant-making and reporting deadlines and approval processes over the course of the annual budget cycle
– Maintain up-to-date grants list and work with COO on external grant data reporting for Candid and the Trust’s tax filings
– Make updates to the online grants management system as needed, including templates, application forms, automated notices, and reports
– Work with Executive Coordinator and COO to ensure the timely processing of grant payments
– Maintain style guide for board materials, keeping it updated when rules are added or changed and proposing new rules/one-time custom solutions as needed
– Develop agenda for monthly all-staff meetings
– Oversee institutional accounts for software vendors and program memberships and assist with identifying and retaining consultants
– Support CEO and COO in recruiting and training new staff
– Manage CEO’s calendar and attend meetings with the CEO, as appropriate
– Help manage and track the Democracy program grantmaking budget and calendar
– Serve as the point of contact for Democracy grantee inquiries about using the online database and completing application or reporting forms
– Support the Democracy program officer in reviewing applications and reports
– Support the Democracy program officer in monitoring grantee progress, including tracking news and research that relates to the work
– Attend meetings and calls with the Democracy program officer, as appropriate
– Help develop and edit Democracy grant recommendation memos, program overviews, and other board materials and communications
– Generate grant agreements and award letters
– Special projects, as needed
Requirements of the Program Associate, Manager of Special Projects:
– Bachelor’s degree and at least 5 years of professional experience [2-3 years of experience at a grantmaking organization is strongly preferred]
– Demonstrated interest in the mission of the Trust and its programs
– Strong project management skills, excellent attention to detail, ability to manage time efficiently, meet deadlines, and work independently with minimal guidance
– Experience with online grants management systems, such as Fluxx, GIFTS, and Foundant
– Well-developed problem-solving abilities, able to spot inefficiencies and issues in systems and suggest and implement solutions to streamline them
– Proficiency in Microsoft Office Suite, especially Excel
– Excellent written and oral communication skills
– Facility with budgets and financial materials
– Strong interpersonal skills that support constructive partnerships and relationships; capable of communicating effectively with grantees, board, and staff
– Comfort with ambiguity and willingness to be flexible and adaptable to change
– Goodwill, a sense of humor, and a commitment to collegiality in a small team
