PURPOSE OF POSITION

The Recruiting Coordinator supports the Recruiting team with administrative recruitment activities.

The main responsibility of the Recruiting Coordinator is to act as first point of contact for the majority of direct applicants by screening their application and relevant documents adhering to the company recruitment guidelines. This role will play an integral part in the pre-selection of suitable candidates and future employees and their preparation of a successful application journey with Viking. Additionally, the Recruiting Coordinator will maintain professional and healthy relationships with our candidates and partner agencies by representing Viking as an Employer of Choice within the industry.

The Recruiting Coordinator will report to the Senior Manager Recruiting at Basel Head Office in Switzerland. However, the role will be a hybrid role (home office and working from Viking’s office in Porto, Portugal). This role is newly implemented. Based on operational needs and in further development of the position, the role’s responsibilities will evolve over time. Please note that we can only consider applicants with a valid EU passport or work permit.

Your Responsibilities

  • Screen candidates resumes and job applications with best match to profile approach
  • Support the recruiting team with candidate correspondences and provide guidance and information to the candidates during the application process
  • Maintain the candidate and documentation database required for the daily operations
  • Always ensure GDPR compliance when handling sensitive data from candidates
  • Coordinate interviews between candidates and VIKING interviewers for assessment centers, online and personal interviews
  • Execute recruiting practices efficiently and effectively by meeting operational needs and following HR policy
  • Maintain business relationships with a trusted network of high-quality recruiting agencies in all relevant markets with best interest to support the new hires

YOUR PROFILE

  • Background in an administrative position, preferably with a cruise background and/ or & HR/ recruitment
  • International experience preferred
  • Excellent written and spoken communication skills
  • Fluent in English, additional languages are a plus
  • Excellent computer knowledge (Microsoft Office, SharePoint, SuccessFactors recruiting), Word and Excel proficiency required
  • Excellent organizational skills, service-oriented and client-focused
  • Organized, independent and adaptable in a fast-paced work environment
  • Open for new ideas, honest, critical, energetic, and enthusiastic
  • A self-starter with a can-do mindset, with complete attention to detail
  • Flexibility and stress resistance, team player, commitment, positive personality, professional appearance
