Personal Assistant
Do you enjoy supporting a team in a varied and busy role? We currently have a vacancy for a Personal Assistant working for one of our legal teams at our site in Farnborough.
As a Personal Assistant, you will be providing a comprehensive secretarial and administrative service to the Chief Counsel UK, Chief Counsel Labour Law, Labour Law Counsels and the Head of Procurement. You will manage complex diaries and emails across the team and taking telephone messages and calls when required and monitoring inboxes. Planning and co-ordinating internal meetings and Agendas involving senior (EC) attendees, e.g. UK Management Board Meetings will also be part of your responsibilities.
This role is varied and will provide you with the opportunity to build a stakeholder network within the wider legal team in Farnborough, Stirling Square (London) and across the businesses. You will be a key player in keeping this busy team organised and providing essential administrative support.
Your Main Responsibilities As a Personal Assistant Will Involve
- Organising travel, booking flights/train travel, accommodation, and car hire/transport
- Organising events, workshops and video conferences, e.g. internal departmental Offsite meetings; Chief Counsel Collaboration meetings (with site tours) and external meetings, e.g. MOD / Law Firm meetings; MOD/Law Firm meetings
- Responsibility for general administrative tasks, e.g. expenses, project activities as required by the team, photocopying, booking desks at other locations and co-ordinating internal reporting of team activities
- Managing documents which includes formatting of documents and agreements, copy typing, and editing PowerPoint presentations
- Workspace – electronic filing, creating new folders, creating zipped files for emailing, occasionally locating email/document content for the team
- Providing cover for other PAs as required
Your Skills And Qualifications
- Must have experience working as an executive personal assistant
- Experience of supporting a team of professionals
- Excellent organisational skills
- Competent user of MS packages
- Ability to work autonomously and use initiative to anticipate requirements through close diary management
- Demonstrate high performance, commitment and robust “can do” approach in a sometimes-pressurised environment
- Experience of working in a legal environment is advantageous but not essential

To be successful within the role, you must have outstanding communication skills and the ability to forge successful working relationships with a range of people. You will have a professional outlook and strong interpersonal skills, with the ability and willingness to work with employees at differing levels.
You should be resilient and able to cope with conflicting demands on your time; to work as part of a team anticipate the needs of the people that you are supporting.

Salary: £35,000+ – Depending on experience
