Operations & Logistics Coordinator (Ukrainian Nationals Only) (80 %)

Caritas Switzerland (CACH) is one of the leading Swiss NGOs in the field of poverty reduction in Switzerland and abroad. International Cooperation programmes focus on humanitarian aid, income generation, climate change and migration. Within the Ukraine Crisis Response, Caritas Switzerland works through local implementing partners, taking the localization of aid approach in its response, and focus on bringing technical value-added specifically in the fields of Livelihoods, protection, shelter, WASH.

Caritas Switzerland is seeking an Operations & Logistics Coordinator (OLC) role for its office in Lviv who will be responsible for ensuring the smooth functioning of CACH office in Ukraine, combining administrative duties with broader operational oversight. She/he will facilitate the efficient operation of the organization by performing a variety of administrative and clerical tasks. This role includes supporting the managers and programme team, assisting with daily office needs, and managing CACH’s general administrative activities. She/he will also coordinate office activities and operations to secure efficiency and compliance with organizational and national policies and legislation; create and update records ensuring accuracy and validity of information.

Your duties

  • Providing overall coordination of the support function and assisting the country team of daily operational activities.
  • Preparing and maintaining operations documents and reports, keeping track of inventory and ordering supplies.
  • Planning and arranging the tender process and purchases. Identify and evaluate potential suppliers, negotiate contracts, and manage supplier relationships to ensure timely and cost-effective delivery of goods and services.
  • Performing administrative tasks e.g. making travel arrangements, accommodation booking, scheduling meetings, and coordinating with partners on operational support when required.
  • Managing office supplies and the maintenance of office equipment.
  • Coordinating the proper allocation of human resources.
  • Arranging and assisting with the onboarding of new employees.
  • Assisting the country team by providing logistical support, tracking progress and resolving issues.
  • Providing clerical support to all operations and managing team members, which can include a wide range of administrative tasks from managing schedules to overseeing project logistics.
  • Planning and organizing events, workshops, staff training, and employee engagement activities.

Our requirements

  • Bachelor’s degree or higher in logistics, operations, procurement or management.
  • At least 3-5 years’ experience in office or and administrative role at local or international NGOs in Ukraine or abroad.
  • At least 3 years’ experience in logistics company in Ukraine.
  • Excellent coordination and communication skills – both oral and written.
  • Excellent interpersonal skills, a helpful and flexible attitude, and an ability to work as part of an interdisciplinary and multicultural environment.
  • Excellent analytical and organisational skills.
  • Ability to balance competing priorities, work under pressure and carry out tasks in a structured and systematic manner.
  • Knowledge of current security and logistics context in Ukraine.
  • Excellent Microsoft Office 365 skills and financial literacy skills.
  • Excellent Ukrainian language skills and ability to speak and write in English at intermediate level.

Location: Lviv, Ukraine with project site visits.

Terms: Consultant contract (80 %)
Starting date: 1st february 2024.
Duration: 6 months with a possibility of extension – depending on funding.
