Organization
iMMAP is an international nongovernmental organisation that provides information management services to humanitarian and development organizations. Through information management, we help our partners target assistance to the world’s most vulnerable populations. Our work in Iraq
iMMAP has had an established presence in Iraq since 2004 has 3 main offices located in Erbil, Baghdad, and Basra. Since the start of its operations in Iraq, iMMAP has built a solid acceptance from local authorities and the population allowing access and implementation of activities throughout the country, in both the Iraqi Kurdistan and Federal Iraq areas.
Description of Duties
PROCUREMENT MANAGEMENT
· Collects quotations and bids from the market as requested by the logistics officer
· Book flight tickets, hotel rooms and airport pick up as requested by the logistics officer
· Book workshop/training venues and support the organization of events in his/her area of responsibility
· Process direct purchased as requested by the logistics officer
· Scan and archive procurement documents as requested by the logistics officer
Fleet Management
· Under the supervision of the Logistics Officer, ensure the implementation of the fleet management procedure in his/her area of responsibility
· Centralized movements requests and drafted the weekly movement plan for his/her area of responsibility
· Liaise with Baghdad FSO regarding the planning of the drivers
· Check vehicle logbooks are in place and used correctly
· Ensure that the drivers carry out daily/weekly maintenance requirements
· Together with the CSA or the FSO, conduct vehicle spot check to ensure compliance with the security rules
· Under the supervision of the logistics officer, ensure the evaluation of the driver.
Asset Management
· Under the supervision of the Logistics Officer, ensure the implementation of the asset management procedure in his/her area of responsibility
· Update the asset register
· Register new assets in the asset register
· Stick relevant tag on new assets received
· Equip relevant users with required items and ensure the equipment receipt form is filled and archived properly
· Ensure assets are stored in good conditions
Premises Management
· Responsible for the repairs and maintenance of equipment and premises in his/her area of responsibility
· Take an active part in needs assessment and propose solutions in terms of premises

Qualifications & Preferred Skills
Education
- University an Institute degree in business administration, finance or relevant field
Experience
- With at least 2 years of work experience in the Administration field.
Soft skills
- Flexible and adaptable to any situation.
- Ability to translate from English to Arabic and vise versa
- Ability to work independently while under pressure and during long hours.
- Excellent work habits with a willingness to work in a multi-cultural environment.
- Excellent organizational skills, including proven ability in administration, financial and logistics.
- Excellent communication skills, including drafting documents;
Programs
- Excellent computer skills in Windows and Microsoft Office especially MS Excel and MS Access.
