Position Summary

Provides administrative support for the corporate building. Ensures that the building has all of the supplies needed for efficient day to day operation.

Essential Duties And Responsibilities

  • Oversee the maintenance and administration of the corporate office building, including office supplies, office cleaning and janitorial supplies, conference rooms, record retention, audio visual equipment, etc.
  • Responsible for managing the cleaning and coffee services for the Arlington campus.
  • Responsible for corporate pool vehicle use and maintenance, including record keeping.
  • Coordinates meetings and events at the corporate office building and assists with campus-wide events/activities.
  • Review and approve invoices for Arlington campus printers, copiers, cell phones, etc.
  • Pick up, sort, and distribute company mail to all buildings on the campus.
  • May transport small parts between buildings.
  • Cover for receptionist/switchboard during breaks, lunch, and absences/vacations.
  • Responsible for the postage machine.
  • Deliver bank deposits.
  • Perform general office work including filing, making copies, shredding, scanning, etc.
  • Prepare envelopes and packages for overnight, express mail or courier services.
  • Run company errands as needed.
  • Any other duties as assigned.

Qualification Requirements

  • High school diploma or equivalent
  • Minimum 1 year of general office experience
  • Basic mathematical capabilities such as addition, subtraction, division, and multiplication
  • Ability to work in a team-based environment.
  • Must have and maintain a clean driving record.
  • Proficient in MS Office including Word and Excel
  • Must be detail oriented.
  • Must have excellent communication skills – both written and verbal, including phone etiquette.
  • Strong organizational skills with the ability to handle multiple projects at one time.
  • Notary Public, or capable of obtaining certification once in the position.

Physical Requirements

  • Use of a computer, telephone and other office equipment, including copier/scanner, multi-line telephone system, etc.
  • Prolonged sitting
  • Frequent standing and walking
  • Frequent use of stairs or elevator
  • Occasional bending, stooping, carrying, and reaching
  • Light lifting up to 30 pounds.

Citizenship Requirements

By contractual requirements this position requires that all persons establish proof of US Citizenship. Dual Citizenship (US citizenship and citizenship of some other country) cannot be accepted. You will be required to provide original or certified copies of documents establishing your citizenship prior to consideration for this position.
