Position Description

OFFICE ADMINISTRATOR

APRIL 2022

The Fair Housing Center for Rights & Research (The Fair Housing Center) is currently accepting applications for a full-time (35 hours/week) Office Administrator to provide program support and reception services for our Mobility Program, administrative support to management, and general office assistance. The Fair Housing Center is a not-for-profit fair housing organization whose mission is to protect and expand fair housing rights, eliminate housing discrimination, and promote integrated communities. The position is based in Cleveland, Ohio, and will regularly require full-time presence at our office location during normal business hours.

General Responsibilities

The Office Administrator is primarily responsible for general reception duties, coordination of office operations and the provision of program support for programs and projects of The Fair Housing Center. This position will provide 20 hours of support per week to The Fair Housing Center’s new Mobility Program launching in May 2022.

Duties

  • Be the office’s first point of public-facing contact, answering phones and greeting visitors
  • Answer phones, emails, walk-in requests to provide assistance and route to appropriate staff member
  • Prepare mailings and packets for clients
  • Prepare communications such as memos, emails, invoices, reports and other correspondence
  • Maintain electronic and physical filing system in accordance with the agency’s protocol
  • Organize, order and restock supplies as needed
  • Process and distribute incoming and outgoing mail
  • Interface with vendors
  • Generate, assemble and distribute reports and packets for Board/Committee meetings when needed
  • Provide clerical support to all agency programs and projects including filing and copying
  • Assist with scheduling meetings for the Executive Director and Associate Director
  • Perform notary services for clients and staff. If not already credentialed the agency will pay for Notary training, testing and supplies.

Qualifications

  • Demonstrated commitment to and interest in civil rights
  • Three or more years of professional experience in nonprofit administration or operations or related field preferred
  • Well-organized, detail-oriented, and able to effectively manage time to meet deadlines on a variety of projects at one time
  • Demonstrated time management and record-keeping skills, ability to prioritize and manage multiple projects with attention to detail
  • Ability to work independently and exercise sound judgement
  • Ability to work in a team environment
  • Excellent written, verbal and interpersonal communication skills
  • Comfort working in a face-paced environment while collaborating with a diverse team
  • Proficiency using office software including Microsoft Excel, Outlook, Word and PowerPoint and Adobe Acrobat

Compensation: Full-time (35 hours a week) salary $29,000 – $32,000 (depending on experience) with benefits (medical, dental, vision, life insurance, 401(k), paid holidays, vacation and personal days)
