Position: Knowledge & Community officer for Fundraising and Finance

Location: Any MSF office, preferably in a time zone within 2-3 hours of Europe*

Contract: Full time, permanent contract

Starting date: January 2023

*By default, the successful candidate will be offered a contract in the MSF office of their country of residence at the time of application.

I. MSF INTERNATIONAL

Médecins Sans Frontières (MSF) is an international, independent, medical humanitarian organisation that delivers emergency aid to people affected by armed conflict, epidemics, healthcare exclusion and natural disasters. MSF offers assistance to people based only on need and irrespective of race, religion, gender or political affiliation.

MSF International is the legal entity that binds MSF’s 24 sections, 25 associations and other offices together. Registered in Switzerland, MSF International provides coordination, information and support to the MSF Movement, as well as implements international projects and initiatives as requested.

II. POSITION BACKGROUND

MSF’s social mission is supported and financed by 7 million private donors. Fundraising is a decentralized function managed autonomously in 38 MSF entities, by more than 900 fundraisers. The fundraising efforts in MSF are coordinated and supported by the international fundraising platform (DirFund) and the international fundraising team at the MSF International office.

The finance efforts in MSF are coordinated and supported by the international finance platform (DirFin) and the international finance team at the MSF International office.

The capacity building strategy and ecosystem within the network aims at capitalizing the MSF’s collective intelligence by creating a collaborative and learning community who support, inspire and empower one another.

III. PLACE IN THE ORGANISATION

The community officer position works within the scope of the international office. It is a shared position between the international fundraising (FR) team and the finance international team, with a double reporting line.

IV. OBJECTIVES OF THE POSITION

The final purpose of the position of knowledge and community officer is to facilitate and boost knowledge exchange, resource-sharing and collaboration within the fundraising and the finance international platforms.

V. MAIN RESPONSIBILITIES

1) Manage the digital ecosystem for knowledge-sharing

  • Manage the digital platform and tools, and create processes to facilitate knowledge-exchange, resource-sharing and co-working among intersectional staff (community).
  • Develop the fundraising and finance digital portals in Pamoja (the MSF international intranet, based in SahrePoint), according to the needs of the community.
  • Enrich the content regularly and develop new sections and functionalities to improve the user experience.
  • Create tutorials and educational tools to help the communities of practice make the best use of Pamoja and other digital tools.
  • Conduct regular monitoring to analyse the usage of digital tools.

2) Implement new projects to upgrade the capacity building ecosystem, programs and tools

  • Implement a new document management solution based on metadata, for the fundraising portal. This project includes activities like reviewing the indexation and encoding all the existing documents in the portal, in order to easy document searching.
  • Help implementing new solutions that may be decided to respond to our communities’ needs.

3) Support the internal communications plan and the on-boarding of newcomers

  • Ensure welcome to new colleagues and clarity in connections as well as timely and accurate information flow through updating lists and teams groups of focal points and members of the international communities of practice.
  • Create and deliver the regular internal newsletter to inform the community.
  • Welcome and guide new fundraisers through an ‘MSF FR induction e-course’ and ‘welcome journey’.
  • Give support to implement other internal communications activities (e.g. webinars about MSF humanitarian work)
  • Act as an information contact point, together with the IO colleagues, for information request needs and questions

4) Support true learning and lively communities of practice

  • Help promoting a culture of best practice sharing and knowledge transfer amongst fundraisers and finance communities.
  • Follow the digital conversations and promote interaction among members of the different CoP.
  • Provide support in the development and implementation of digital workspaces of the lead members of the communities of practice (CoP). This includes providing tools, templates and guidance on how to capture, document and organize relevant knowledge.
  • Provide guidance in the selection of the right collaborative tools adapted to their needs: SharePoint site, Teams channels, virtual boards (Miro), survey tools, workshop planning tools, project management tools, etc.

5) Support the organisation of learning events

  • Provide support in the coordination of planning, preparation, and follow up of in-person collaborative skillshare events.
  • Work together with the IO CB team in sourcing and managing venues and suppliers.
  • Coordinate meeting stakeholders such as community sponsors, speakers and international team to develop and prepare all event documentation.
  • Book meeting rooms: prepare and communicate possible configuration requirements for the furniture and resources in the meeting rooms.
  • Ensure presentations and materials are collated and available.
  • Define and prepare welcome packs for the participants of the meeting.
  • Coordinate follow up of knowledge sharing sessions with session facilitators and sponsors of the community of practice, i.e. log according to session
  • Prepare notes and follow up actions for the knowledge sharing after the meetings.

6) Evaluation

  • Contribute to developing a systematic approach to showing impact from the knowledge exchange in the communities of practice, with the objective of creating a KPI dashboard and monitoring system.
  • Participate in the definition and implementation of an organization wide needs assessment, to identify skills/knowledge gaps that need to be addressed.

7) General support and administration

  • Compile and keep up to date key information from sections; and other administrative tasks to support the International Fundraising and Finance teams
  • Briefing notes, meeting minutes and related assets and other support to the international fundraising coordination as well as the international finance coordination, when needed.

Job requirements

Skills and experience

  • Bachelor or University Degree in Social Sciences, or related field, with equivalent of 5 years practical experience.
  • 2 years work experience in knowledge management (information management, learning, community management, communication)
  • Certification in knowledge management or library and information sciences would be highly valued.
  • Computer competency, experience of working with SharePoint and other Microsoft Office Applications and collaboration tools.
  • Knowledge in Fundraising and/or finance is valued.
  • Spoken and written English.
  • Demonstrated project management and organizational skills, with the ability to prioritize, meet deadlines, and produce quality results.
  • Well-developed communication and interpersonal skills. Ability to work in network and capacity to work effectively in a multicultural environment.
