WRS Kurdistan are looking for Local candidates to fill the position of Information / Records Management Coordinator for an International Oil and Gas company in Kurdistan.

Job Summary

Responsible for all aspects of information and records management in company, covering management of document control, records management, storage, lifecycle information including provision of support to all functions and teams, setting system requirements and availability of the associated IT solutions.

Main Responsibilities

  • Responsible for Information and Records Management in Kurdistan Business Unit (BU).
  • Responsible to ensure appropriate user support methods and systems including training for use of Information and Record Management systems.
  • Promote and ensure continuous improvement within information and records management.
  • Establish strategy, procedures and guidelines for document control and information management (including storage), addressing historical information / records as well future information / records.
  • Establish and ensure conformance to Company information and records management requirements in project and development activities, including by 3rd party suppliers.
  • Responsible for document control processes, both internally in BU and in operated project activities.
  • Support and advice the teams / functions in BU, including 3rd party Contractors in document control performance.
  • Assist in evaluation of all document control aspects of contracts from tender through to the termination.
  • Participate in activities to improve information and records management process and activities including document control system and processes.
  • Support in use of IT solutions related to information and records management and coordinate with the system providers.
  • Ensure functions of SharePoint used for records and document management are sufficiently developed and set-up for the necessary use in coordination with the IT Department.
  • Ensure efficient transfer of information from project to operation, manage information management of operated field in the operation phase.
  • Co-ordination of activity and security of sensitive information.
  • Provide support and advisory support to other company Business Units, as agreed with line, functional and BU management.
  • Responsible for the timely, accurate and efficient preparation and management of documents. Control’s the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects or departments.
  • Perform all the above in close cooperation with the relevant company teams and departments, including necessary engagement with the leadership team.

Requirements

  • Relevant degree from college or university.
  • Minimum of 5-10 years’ experience working with information, records and document management systems and processes.
  • Experience in specifying requirements and follow up with systems / service providers.
  • Education or courses within document control / document administration / information management / records management.
  • Good knowledge of principles of contract confidentiality and personal data protection.
  • Good knowledge of technical documentation, document control requirements.
  • Good knowledge in information management systems and IT solutions.
  • Advanced knowledge and working skills in Microsoft SharePoint.
  • Good knowledge of technical terms related to the petroleum industry.
  • Advanced communication and language skills in Kurdish and English are essential, Arabic is a plus.
