JOB DESCRIPTION

The purpose of the HR & Administrative Technical Assistant position is to assist in the day-to-day implementation of the HR and administration functions responsibilities.

RESPONSIBILITIES

Generic responsibilities

  1. Adhere to NRC policies, tools, handbooks, and guidelines.
  2. Assist with the implementation of the support function portfolio according to plan of action.
  3. Prepare and develop status reports as required by management.
  4. Ensure proper filing of documents.
  5. Promote and share ideas for improvement of the support function.
  6. Contribute to identification of protection risks and needs in the context of program implementation.
  7. Perform all administrative tasks to ensure the smooth operation of SD office (office and mobile suppliers, landlords and cleaners, all other involved persons/entities checking the counters for utilities, correctness of bills for services provided, assist in collection of documents).
  8. Assist preparing the office/boardroom for meetings, conferences and other events. Handle catering and other related services.
  9. Provide secretarial and administrative support to management and other staff.
  10. Any other duties that will be assigned by Area Manager, Area Support Manager, HR Coordinator or Administration Officer.

Specific responsibilities

  • Assist in drafting letters, cover letter for official correspondence. Reply to general information requests with the accurate information. Sending receiving, distributing and filing incoming and outgoing letters, mail and other documents for the area office.
  • Organize and schedule meetings and appointments when and if needed.
  • Assist with administrative tasks and provide research and administrative support to departments and individuals, where necessary.
  • Assist in arranging travel: train tickets and hotel reservations, conference arrangements and transportation (if needed).
  • Receive invoices and verify correctness against orders/contracts/agreements and follow up on where partial deliveries are made until orders are complete.
  • Control of creation and production of ID cards and business cards for new staff.
  • Assist in initiation of procurement procedures using Agresso Procurement system.
  • Assist with reference check for selected candidates.
  • Assist with creation of orders for travel/vacation for national staff members, check timesheets, keep vacation schedule of national staff updated.
  • Assist with filing (timesheets, documents in personnel files etc.).
  • Assist HR/Admin Officer in ad-hoc tasks.

QUALIFICATIONS

  • Proficient knowledge of Ukrainian and Russian languages

  • Good knowledge of the software programs (MS Word, Excel, Access, PowerPoint)

  • Type of contract: national employment contract until 30.12.2023 (with possible extension)
