Job purpose

The Grants and Administration Officer supports grants administration within the Europe Asia Department across specified projects/programmes… This includes supporting contract set-up and management with donors and partners, enabling project compliance with external and internal requirements, and ensuring administrative processes are contextually appropriate.

Person specification
Essential knowledge, skills and experience

  • Experience of working in an administrative and support position to a team.
  • Strong organisational skills including planning, developing, implementing and maintaining administrative systems.
  • Experience of providing financial administrative support to projects, including on support to financial reporting, reviewing partner and team expenditure and preparing budgets.
  • Experience working to build grantee and partner capacity for grants management and monitoring performance.
  • Understanding of grant and procurement best practice and donor compliance
  • Experience of working with databases, handling diverse sources of information and maintaining accessible filing systems.
  • Experience of working in a multicultural environment.
  • Experience remotely supporting partners on the successful joint delivery of work.
  • Excellent verbal and written communication skills in English.
  • Willingness to undertake some international travel.
  • Strong commitment to, and experience of, team and cross-organisational working.
  • Appreciation of issues of confidentiality, and cross-cultural and political sensitivity.
  • Initiative, enthusiasm and a problem-solving approach to new challenges.
  • Experience of hostile environment training or willingness to undertake hostile environment training.
  • Fluent written and spoken English.
  • Good working knowledge of written and spoken Russian

Desirable knowledge, skills and experience

  • Relevant financial qualifications and experience
  • Experience using Podio or similar project and data management software.
  • Understanding of and interest in peacebuilding and conflict transformation processes.
  • Knowledge of and interest in contexts relevant to the department and its work.
  • Experience supporting project management on a European Union funded project.
