We are currently seeking a front desk Administrative Assistant for our Philadelphia office. In this role you will be part of an administrative team of four, responsible for performing a wide variety of diverse, administrative tasks to provide a high level of support for our professional consulting and corporate staff.

Qualified candidates who are selected to participate in our screening process for this role will be asked to take an editorial assessment via Microsoft Word prior to a potential formal interview.

Your responsibilities will include:

General Office Support

  • Providing front desk coverage including low-volume phone coverage and greeting visitors
  • Handling office supply orders and inventory
  • Maintaining organization and upkeep of supply/copy room, conference rooms, and kitchen area
  • Handling mail and shipping/receiving
  • Coordinating onsite meetings to include: conference room schedules, setting up web conference systems, catering, room set up/clean up
  • Supporting Facilities requests administratively (both from corporate and the building management)
  • Coordinating equipment maintenance (copy machines, kitchen appliances, etc.)
  • Assisting Human Resources with local candidate interview scheduling
  • Organizing office events such as employee celebrations, holiday parties, etc.

Consultant / Corporate Staff Support

  • Coordinating and maintaining schedules and travel arrangements
  • Preparing and processing expenses
  • Entering and submitting timesheets
  • Printing documents and collating into binders
  • Setting up and running project conflict checks
  • Setting up new projects in our electronic system

You will have the following skills and qualifications:

  • Prior experience providing administrative support to a team, of which, at least two or more senior/executive level staff; experience at a professional services firm or law firm is a plus
  • Working experience and knowledge of Microsoft Office including Word, Outlook
  • Working experience and knowledge in online conferencing systems like Microsoft Teams
  • Excellent written and verbal communications
  • Must be able to demonstrate strong organizational, planning, monitoring of tasks, and follow-up skills
  • Demonstrated problem-solver
  • Committed to quality work product both for independent tasks and team projects
  • Demonstrated self-starter who shows initiative
  • Motivated and committed to learning new systems, processes, skills
  • Attention to detail and the ability to manage several tasks simultaneously
  • Ability to multi-task, work under critical time deadlines, re-evaluate priorities, and interact with all levels of professional staff
  • Exposure to sensitive information will necessitate considerable use of tact, diplomacy, discretion, and judgment
  • Must be able to lift, push, pull a minimum of 20 lbs.

This role is required to be on-site in our office location five (5) days/week.
