The Administrative Assistant (AA) works closely with and reports to the Area Directors for East Africa & Sahel. The Area Directors travel frequently, and the role of the AA is to keep the office running smoothly with all administrative tasks and support services.

The AA must ensure a high standard of communication in both English and French with various persons and groups that relate to the ADs’ office, and a high standard of organization for projects and systems. The AA will also support the ADs with research, admin and report preparation, travel and hosting logistics, and other projects and duties as assigned by the ADs.

Qualifications:

  • Exhibit a commitment to a personal Christian faith and discipleship; active church membership; nonviolent peacemaking, and respect for the faith basis of MCC’s work
  • Commitment to MCC’s goals and principles
  • Relevant post-secondary education and a minimum of 3 years of experience in a senior administrative role
  • Fluent in both verbal and written French and English communication skills, including the ability to translate documents and interpret between these two languages
  • Excellent interpersonal skills
  • Confident and efficient in dealing with international people, the public, government officials, and vendors
  • Ability to represent MCC in a professional and welcoming way
  • Highly organized and proficient in computer-based narrative documentation, data entry, filing, spreadsheets, and PowerPoint presentations
  • Ability to work independently and to deal with situations and issues persistently and pro-actively
  • Ability to deal with confidential information in an appropriate and professional manner
  • Flexible, willing to learn, and able to accept feedback
  • Willing and available for overtime work, particularly before and during meetings
  • Willing and able to travel locally and internationally, as needed
  • Legally eligible to work in Kenya
  • 3 years of experience working in an international organization is preferred
  • Previous cross-cultural experience and understanding are preferred

Major Responsibilities:

  • Administrative Support – 80%
  • Scheduling/ Organizing/Preparing Communications – 10%
  • Reporting/ Support and Research – 10%

Tasks for Administrative Assistant:

  • Plan to work 20 hours per week (with additional hours compensated on an hourly basis) from a home office, and meet in person with ADs when requested
  • Manage administrative functions related to the ADs office: Microsoft Office, filing and record-keeping, invoices, expense claims, preparing reports and presentations
  • Coordinate travel and meeting schedules for the ADs, assist with workflow by identifying significant upcoming events and managing preparations as required
  • Maintain regular contact with the ADs during their travels
  • Organize meetings (in-person and virtually) as required by the ADs: planning meeting logistics, gathering, and distributing meeting materials, and taking and distributing minutes
  • Work with the ADs to connect and resource MCC’s Africa program offices, including maintaining current program resource materials, procedural manuals, etc.
  • Alert ADs to unusual circumstances or urgent communications that require the ADs’ intervention
  • Assist the Africa HR Coordinator with planning and hosting regional events such as orientations and re-entry retreats and helping solve any problems that may arise
  • Assist the Africa HR Coordinator and country representatives with talent acquisition when the need arises.
  • Manage travel and hosting logistics for Regional Office guests
  • Communicating and collaborating with the SALT, IVEP, and YAMEN (MCC Volunteer programs) orientation team to orient the young adult volunteers before traveling to their country of placement.
  • Working in close collaboration with various planning committees for different events scheduled throughout the year.
  • Provide both written and oral translation of reports, contracts, and other documents to and from French, as required
  • Attach documents in PlanWin
  • Annually, review PlanWin for each program and prepare a document for ADs to review
  • Work on compiling Annual Plans and Annual Reports which the ADs review.
  • Any other duties as assigned
