Faculty of Engineering and Architectural Science (FEAS)

First-Year Engineering Office (FYEO)

FYEO supports students in their foundational first-year of engineering. Its award-winning team offers guidance and resources, and answers all of their questions about their academic career and beyond, including facilitating study halls and representing their concerns.

The Opportunity

The First-year Academic Services & Success Facilitator will provide a range of administrative and analytical support to coordinate day-to-day operations. Provides advice, support, guidance to staff and students and engages in the promotion of programs and the department. Researches, recommends and implements efficient internal office systems and procedures and is responsible for coordinating and monitoring budgetary activities and preparation of analytical and statistical reports.

Responsibilities

  • Provide leadership to the Student Advisors on curriculum and student advising
  • Develop and implement academic initiatives
  • Provide support to the Program Director
  • Ensure partnerships management to all program areas and internal stakeholders
  • Human resources management

Qualifications

  • Successful completion of a post-secondary degree in business administration/management or a relevant field and a minimum of 3 years of experience in a similar role within an office environment with the following requirements:
    • Curriculum and/or student advising
    • Budget administration and reporting preparation, database applications and website content
    • Coordinating and collaborating with external partners and providing research support, scheduling and event coordination
  • Demonstrated knowledge and application of university academic policies and procedures to provide information regarding course requirements, registration procedures, appeals procedures, transition program; administrative policies of various Ryerson departments such as Financial Services regarding charge backs and purchase requisitions; knowledge of bargaining units and their collective agreements.
  • Demonstrated technical software skills with programs such as Word, Excel, Access, PowerPoint, Photoshop and website (preferred), to carry out the necessary administrative support functions within the First Year and Common Engineering Office. Knowledge of RAMSS or similar student database operations and knowledge of ORACLE for budget analysis is also required.
  • Strong analytical and research skills are required to develop, summarize and make recommendations on various internal written reports.
  • Excellent oral communication skills are required in order to effectively interact with students, faculty and staff, including providing guidance and counseling regarding academic curriculum, electives, etc., and to manage sensitive issues associated with students and faculty in an academic department.
  • Strong written communication skills are necessary to coordinate, edit and oversee the updating to the collection/maintenance and preparation of materials (letters, reports and documents); responsible for presentation, maintenance and accuracy of information on the Engineering website and editing and updating student handbook, newsletter, calendar, etc…; prepare projects/proposals related to the First-Year Engineering Office.
  • Solid organizational and time management skills are required in order to coordinate and organize program specific functions such as pre-registration, registration and orientation procedures for first-year Engineering students and common Engineering courses; meet project timelines; respond to issues/inquiries and manage in a very fast-paced academic environment; ability to multi-task is essential.
  • Ability to coordinate people and material resources in order to monitor and assign tasks to the part-time/temporary staff.
  • Demonstrated knowledge of budgeting to organize and manage budget processes for the First Year and Common Engineering Office.
  • Excellent interpersonal skills including tact and diplomacy, to ensure efficient and effective support for students and other members of the Ryerson community.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Gmail.
