POSITION SUMMARY:

The Finance Coordinator provides administrative and project management support to the Chief Financial Officer (CFO), as well as administrative support to the Associate Vice President, Accounting & Finance and the Senior Director, Budget & Fiscal Compliance, as needed and appropriate. This role will help ensure that a variety of Finance-related tasks and projects are coordinated, documented and executed. These responsibilities include, but are not limited to, project management of critical Finance projects and tasks, procurement, invoice management and liaising with Board committees, the Development team, investment managers, external providers and vendors.

ESSENTIAL FUNCTIONS:

  • Supports the CFO, and as needed and appropriate, supports the Associate Vice President, Accounting & Finance and the Senior Director, Budget & Fiscal Compliance, with a variety of tasks to include, but not limited to, project management of critical Finance projects.
  • Responsible for Finance Division invoice management, vendor coordination and procurement, as well as compiling and submitting the monthly corporate card report for the CFO.
  • Schedules appointments and maintains productive calendars for the CFO, as well as the Finance team.
  • Manages documents on behalf of the CFO and coordinates all approvals/signatures, tracking critical timelines to ensure HIAS remains compliant with all assigned statutory requirements.
  • Coordinates with the Development team in both Silver Spring and New York to ensure that bequests and bequeaths are signed by the CFO in a timely basis and returned along with any required financial information.
  • Coordinates monthly management reporting meetings for Finance and Programs teams; completes detailed notes and ensures follow-ups are clearly communicated and tracked.
  • Serves as the committee liaison to both the Budget & Finance Committee and the Investment Committee, which includes scheduling meetings, coordinating, compiling and sharing meeting materials, meeting minutes and action items, tracking meeting follow-up and other related tasks as needed.
  • Serves as liaison with Disciplina, HIAS’ investment management firm.
  • Attends critical meetings, keeping action items, notes, transcripts and/or meeting minutes; tracks next steps and tasks through follow-up with respective individuals/departments.
  • Leads and coordinates the creation of the Finance section of the quarterly board reports; gathers information from both Finance units, and compiles and finalizes these reports; tracks deadlines and ensures these reports are submitted to the Executive Office on a timely basis.
  • Serves as data champion for the Finance team; coordinating with Finance colleagues to obtain data and updates to the division’s annual goals and objectives; provides quarterly updates to Strategy & Measurement staff.
  • Maintains and edits the Finance HIASnet page (internal intranet); coordinates with various Finance team members to add and update information on the page.

QUALIFICATIONS & REQUIREMENTS:

  • Undergraduate degree preferred.
  • 2-3 years of business experience in administrative/support, project management, procurement or other related functions, preferably within the Finance area.
  • Experience with management information systems and reporting metrics preferred.
  • Strong interpersonal and communication skills; exhibits polite and professional communication via phone, e-mail and mail.
  • Must possess analytical skills as well as excellent written and verbal skills.
  • Strong organizational skills, to include good record keeping and tremendous attention to detail.
  • Ability to properly prioritize work, escalate issues as needed and complete work in a timely manner while working on simultaneous tasks.
  • Ability to work independently without direct supervision.
  • Ability to learn new technology quickly.
  • Must have work experience, knowledge and aptitude of Microsoft-based tools such as Office Suite (Word, Excel, PowerPoint) and other industry standard software.
