Executive Assistant at NRC MERO office is expected to a provide high-level administrative support for MERO executives in general while working closely with Regional Director and Regional Support Director to ensure that they can efficiently accomplish key tasks and organizational initiatives.

  1. Role and responsibilities

The following is a brief description of the role. This position will provide high level day to day support to the Regional Management group (RMG) for the NRC Middle East Regional Office (MERO) which will include a wide range of tasks from arranging workshops / meetings, managing senior managers calendars and specific project work.

Generic responsibilities

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong to the Work and Development plan.

Support the Middle East Regional Management Group with the following:

  1. 1. Ensure effective agenda time management, meeting commitments and preparation for meetings.
    1. In cooperation with relevant MERO units, support meeting preparations for the Regional Directors’ participation in meetings and conferences. Provide support during such meetings when required, including minute taking.
    2. Maintain the organizational chart for the office and region.
    3. Responsible for setting up and coordinating Regional Management Group (RMG) meetings, including drafting of agenda, identification of meeting venue and/or video conference, minute taking and follow-up.
    4. Responsible for setting up MERO Extended Regional Management Group (ERMG) meetings including minute taking, follow up on actions and wider information sharing with MERO and Country Offices
    5. In close coordination with all MERO units (incl. HQ liaison), ensure strategy and follow-up meetings (T-meetings) are conducted in time and filled accordingly.
    6. In close cooperation with MERO Administration unit, facilitate logistical arrangements related to conferences held by the NRC MERO office.
    7. E-mail administration: Ensure timely follow-ups and coordinate meeting requests.
    8. Support to communicate more widely in the MERO office and region in relation to RMG activities includes support on translation of meeting minutes summaries etc. to Arabic.
    9. Other ad hoc and project related tasks as identified by the RSD or RMG.

Critical interfaces

By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are:

  • Regional Director
  • MERO Regional Management Group
  • Country offices, including Country Directors
  • Senior Regional Advisor based in Oslo
