Background

The Global Survivors Fund (“GSF”) was launched in October 2019 by Dr Denis Mukwege and Nadia Murad, Nobel Peace Prize laureates 2018.

As a recently founded organisation, GSF has set up as a priority the need to increase awareness of its existence and work towards its main target audiences (survivors, international and local partners, donors, states and the international community as well as the general public).

Role summary

The GSF is looking for an Events and Publications Assistant for an open-ended contract. Her/his role will be to support the Head of Communications in managing the logistics, operations and administration of GSF’s planned events, workshops and conferences.
In particular, the Events and Publications Assistant’s main tasks will be to support GSF in developing short and long-term planning and management for events; to develop relationships with contractors and suppliers; to contribute to administer the entire phase of the events from conception to final delivery; to contribute to the production of various events’ materials including with contractors (publications, agenda, banners, posters, etc.); and to assist GSF in its overall events’ strategy.

Position responsibilities

• Assist GSF in organising and hosting events that enhance the Fund’s image,
• Plan and manage our events’ calendar,
• Contribute to designing the format of and generate ideas for GSF’s events, including in their online format,
• Maintain excellent relationships with all our stakeholders, including survivors, fellow staff, local and international partners, donors and suppliers,
• Research and secure venues as well as relevant service providers (such as catering, photographer, audio-visual, etc…),
• Liaise and negotiate for quotes,
• Assist with event marketing, monitor timeframes and budget,
• Contribute to manage event speakers and attendees and provide them with logistics support where necessary,
• Contribute to formulating ideas on the communications aspects of GSF-led events and contribute to the production and planning of various events’ materials incl. publications,
• Adhere in all circumstances to GSF’s internal policies and procedures in particular the strict application of GSF’s data protection policy.

Skills and competencies

The Events and Publications Assistant should demonstrate:

  • Excellent organisational abilities,
  • Competencies to brainstorm, implement event plans and concepts,
  • Ability to identify priorities and audiences, to deliver products that meet expectations,
  • A critical eye in terms of quality, attentive to details and, financial and time constraints,
  • Capacity for detailed planning of activities as well as to liaise, negotiate and handle logistics, including post-event reporting (minutes, summaries, actions log),
  • Ability to coordinate, maintain and develop solid relationship with service providers and contractors to enable the achievement of GSF’s objectives,
  • Strong work ethics, eagerness to resolve problems in a timely manner and take initiatives,
  • Ability to work autonomously and as a team member and to travel.

A service-oriented style with professional presentations skills will be essential as the Events and Publications Assistant will have to effectively interact with people from diverse backgrounds.

The Events and Publications Assistant must adhere to the Fund’s mission and values and show interest on a wide range of topics ranging from human rights issues, including gender, women’s and victims’ rights, to transitional justice, conflict-related sexual violence, survivor-centric approach, reparations and other forms of redress.

Education and Experience

• A degree in public relations, communications, hospitality management or relevant field
• A minimum of 3 years’ experience in event planning is necessary.

Other requirements

• Proficiency in various event software.
• Proven working experience in marketing and in maintaining and developing relationships with suppliers and contractors.
• Strong attention to details, and excellent communication and time-management skills.
• Critical thinker and strong problem-solving skills.
• A positive, friendly and professional disposition as well as strong interpersonal skills.
• Team player, multi-tasker.
• GSF working language is English. Full proficiency in English and French is required.
