About the role

Main Job Purpose

We are looking for a highly motivated individual to join our Business Improvement team within the Programme Management Office (PMO) and be a part of exciting initiatives to drive, support and contribute to business improvement with the aim of improving services to our clients, both internal and external. The individual will engage with multiple stakeholders internally and externally to support effective and efficient programme management support, delivery and business growth. They will also directly manage one of our international projects after successfully passing their probation period. The projects are focused on working with the governments, institutions, donors, foundations, philanthropists and the private sector to tackle the complex challenges and contribute towards improving the quality of life and opportunities in our countries of operation.

Main Responsibilities of Job

Under the oversight of the Head of Business Improvement, the individual will:

Manage

  • Assist with the management and provide support to Crown Agents projects to ensure timely and effective delivery within contracted time and budget.
  • Directly manage projects from start to end with support from more senior members of staff.
  • Support the PMO in project quality assurance processes in line with the PMO and clients’ systems and processes as well as internal quality management system requirements
  • Manage and monitor the Contract Management Reviews, including coordination of high-quality contract management review reports and timely submission to the project’s key stakeholders
  • Manage the PMO’s live project spreadsheet to ensure it is up to date and in line with project information

Deliver

  • Produce high quality and up to date monthly time analysis reports that accurately reflect the project team and time spent on the project
  • Review completed RAG and IATI reports to ensure they are complete and follow up with the relevant team
  • Deliver PMO induction to new joiners within and outside the PMO and regularly update the pack in line with the business delivery workflow
  • Proactively engage with business units to improve compliance against PMO requirements and produce high quality quarterly compliance reports
  • Coordinate and organise Monthly Brown Bag Lunches together with the wider business
  • Assist in provision of advice and guidance to internal & external clients on the PMO systems and processes, with a view to become the programme management focal point
  • Provide Programme and Senior Management with better project data through various reporting mechanisms
  • Effective programme management for external clients and/or donors with support from senior staff
  • Analytical and problem-solving approaches with a detailed orientated management of day-to-day tasks

Build

  • Build knowledge and experience through contributing to think-pieces, facilitation of lessons learning events and/or shadowing more senior members of staff and attending external events
  • Build experience of data monitoring, analysis and learning to feed into business improvement and knowledge dissemination
  • Support in the development of tools, guidance, and processes for improved project management.
  • Update the track record library in coordination with Commercial Development Office

Win

  • Support Programme Managers in on selling their projects
  • Provide inputs to opportunity identification, marketing material, proposal development and management as required.
  • Support business winning initiatives through bid coordination and/or bid management should the need arise**Technical Delivery:**

Where applicable, the Job Holder shall

  • undertake all procurement in compliance with Good Distribution Practice (GDP) in accordance with the provisions of our Wholesale Distribution Authorisation (Human) (WDA (H)) issued by the Medicines and Healthcare Products Regulatory Agency (MHRA) and our United Kingdom Controlled Drug Licence issued by the Home Office
  • ensure that all procurement is carried out using the relevant corporate IT system(s) in operation

  • Be aware of and adhere to company quality standards and procedures in accordance with Crown Agent’s commitment to working to the highest quality standards and striving for continual improvement

Safeguarding:

  • Be aware of and compliant with all the standards following Safeguarding procedures and policies. Promote Crown Agents speak up culture in order to protect the welfare of children, young people, and vulnerable adults

About you

Requirements

Qualification

  • Relevant degree from a top-tier university
  • A post-graduate degree from a top-tier university, desirable

Experience

  • Some relevant government or private sector experience in relevant subject area;
  • Some experience of working in a developing country, desirable.
