Job Summary

The Climate Modeling Alliance (CliMA, clima.caltech.edu) is building a new climate model, to produce the accurate and actionable climate projections needed to face the coming climate changes—to help mitigate what is avoidable, and to adapt to what is not.

As CliMA Program Coordinator at Caltech, you will be at the heart of the team’s operations and activities. You will help the CliMA leadership and team members stay focused on their projects and move CliMA forward by working on a range of communication, project management, and administrative tasks. You will also work closely with grant managers to assist with financial management and reporting. The Coordinator should be willing to have flexible hours based on project schedules, when needed.

Job Duties

  • Perform an array of administrative tasks (e.g., maintain schedules, book travel, arrange building maintenance).
  • Guide outward-facing communications, including maintenance of website content and social media presence.
  • Prepare graphics and written content for reports and presentations.
  • Purchase supplies and equipment and process reimbursements and payment requests.
  • Assist with the financial management of grants, subawards, consulting agreements, including account and compliance monitoring and forecasting.
  • Assist with the preparation of grant proposals and financial reports, including ensuring compliance with agency guidelines.
  • Onboard new CliMA staff, guests, and visitors and coordinate office space.
  • Plan conferences, seminars, and meetings, including event management and travel arrangements.

Basic Qualifications

  • Bachelor’s degree or equivalent practical experience.
  • At least three years of administrative, project management, and/or communications experience.
  • Excellent verbal and written communication skills.
  • Experience operating and communicating within cross-functional teams.
  • Proficient with software such as Word, Excel, PowerPoint, WordPress, Outlook, GoogleSuite and Adobe Acrobat.
  • Proficient in operating and troubleshooting common computer and Audio/Visual equipment.
  • Ability to work independently within a dynamic team.

Preferred Qualifications

  • Bachelor’s degree in Business or Communications.
  • Experience with preparation of scientific/technical graphical illustrations.
  • Ability to consistently and positively contribute in a fast-paced, changing work environment, with the ability to prioritize multiple functions and tasks and manage work time efficiently.
  • Ability to take initiative and build relationships.
  • Previous experience working in an academic or research setting, at Caltech or elsewhere.
