Branch Coordinator –Nairobi Branch

MAIN PURPOSE OF THE JOB

The Coordinator will play a leading role in the overall branch management, delivery of program quality and impact and ensuring proper staff management. She will be responsible for proper management of branch finances and increase of the resource base of the branch.

Field of duties and responsibilities

1. Overall Branch Management

  • Ensuring implementation of strategic plans and organizational policies and procedures
  • Public relations and liaison with key stakeholders
  • Organizing Membership recruitment drives to increase membership in the Branch
  • Increase visibility of Branch using various channels
  • Overseeing Branch operations by monitoring progress of the implementation of annual plans
  • Resource mobilization for the Branch
  • Represent Nairobi Branch and YWCA as a whole in inter-agency coordination meetings, cluster meetings and NGO Consortium meetings

2. Program Management and Oversight

  • Working in collaboration with the Program Team/s, to ensure that Program implementation is managed closely through the development of structured work plans, indicator tracking and monitoring plans.
  • Ensure fulfillment of the budget expectations. Ensure project expenditures are monitored and corrective action is initiated and tracked where required.
  • Convene grant review meetings where program performance is reviewed and corrective action taken as needed to promote program integration
  • Lead comprehensive program reviews including mid-term reviews, final evaluation and assessments
  • Provide leadership to ensure timely and high quality progress reports as the YWCA and donor guidelines
  • Provide proper representation in cluster and other coordination forums at national and regional levels
  • Build capacity of program staff in the areas of program development

3. Financial Management

  • Ensure the implementation of the Finance department’s strategic plan in relation to the overall organization’s Strategic Plan
  • Planning and coordination of the branch activities in liaison with Finance department
  • Improving the financial stability of the Branch through income generating activities
  • Carry out Business Development duties
  • Ensure proper management of the Staff Payroll

4. Staff Management

  • Implementation of the Human Resource Policy in conjunction with the Human Resource Office
  • Acting as a link between branch staff and Head office
  • Implementation of the Performance Management and ensure that staff are motivated to perform
  • Coordinate with Human Resource Office to ensure that appraisals are done in a timely manner
  • Manage investigations, disciplinary and grievance matters in conjunction the Human Resource Office
  • Leave management for branch staff

Carry out any other duties and responsibilities which may be assigned from time to time.

JOB SPECIFICATION AND OTHER INFORMATION RELATED TO THE JOB

Level of Education/Academic qualification

  • Bachelor’s degree in Social Sciences from a recognized university Graduate qualifications in studies related to Governance and social services will be an added advantage

Other Competencies/abilities/skills required

  • In-depth understand causes of poverty vulnerability and gender inequality in Kenya with knowledge of political, Social, Economic Social and technological environment is desirable.
  • Experience working in the informal settlements/resource limited settings an added advantage
  • Experience working with people with disability and the youth.
  • Project Management, Advocacy, Planning, Organizational skills and Grants management skills
  • Computer skills, Design and delivery of capacity development methodologies skills
  • Fundraising and Report writing skills
  • Strong communication and interpersonal skills

Relevant Job experience

At least Three (3) years post qualification in social science related work in recognized organizations. 2 years’ experience in project management, experience in partnership building, capacity building, networking and advocacy.
