Primary Responsibilities and/or Essential Functions:
- Provide attorneys with administrative support including, calendar and contact management; event and meeting planning; travel; time entry (DTE); open new client matters; assist with billing and prepare expense reports.
- Welcome clients who visit the Firm; interact with clients, attorneys and internal staff in a professional and courteous manner.
- Handle high volume of phone calls; ensure messages are delivered promptly, accurately and according to attorney preference.
- Utilize Firm-supported software/hardware to assist attorneys with all phases of document production (drafting, editing, printing, proofreading, conversion and photocopying).
- Organize desk according to Firm best practices; maintain effective paper and electronic filing systems; forward files to Records Department for long-term storage; maintain contact sheets/desk profiles,
- Collaborate with team ASAs to provide support to the entire team; coordinate coverage with team ASAs when absent or away from desk.
- Prioritize work; complete tasks with minimal supervision; serve as a liaison for civic/charitable organizations.
- Work overtime as requested.
- Any other responsibilities that may be added or adjusted at management’s discretion.
Education, Knowledge, Skills & Abilities:
- 3+ years of experience in an administrative capacity within a law firm, legal environment or corporation.
- High School Diploma required.
- College Degree preferred.
- Strong administrative and organizational skills; ability to prioritize tasks and juggle multiple priorities.
- Excellent interpersonal skills; ability to work with different personalities in high-pressure situations.
- Excellent written and oral communication skills; strong attention to detail.
- Strong initiative; ability to exercise sound judgment, work independently and make decisions on behalf of attorneys.
- Ability to maintain confidentiality; team player.
- Demonstrate proficiency in firm-supported applications including Microsoft Suite (Word, PowerPoint and Excel) and legal-specific applications.
- Ability to produce high-quality documents that are spelled checked and proofread.
- Demonstrate desire and ability to learn new technology and willingness to share knowledge to assist others.
- Experience at large law firm highly preferred.
