JOB SUMMARY

To accurately process, acknowledge, report, and reconcile donations, and monitor and troubleshoot the relevant workflows. To manage Major Donor acknowledgment letters and facilitate the CEO’s signing of letters. To update and maintain the donor database. To provide customer service and general administrative and fundraising operations support.

MAIN TASKS AND RESPONSIBILITIES

  • Receive and securely process online, recurring, and offline donations; record accurate donation information and documentation in the database; and provide regular reports of donations received.
  • Work with the Finance Department to conduct monthly, quarterly, and yearly reconciliation of donations received and their details and designations.
  • Generate and send donation receipts and personalized acknowledgment letters to donors, draft and maintain acknowledgment letter content, and facilitate the CEO’s signing of letters.
  • Process, update, and maintain constituent information in the database.
  • Provide phone and email customer service and request fulfillment.
  • Manage the accounts of recurring donors, and follow-up with donors regarding declined transactions, expiring credit card information, etc.
  • Support event operations by working with the RD Ops Data officer to manage gift, RSVP, and attendance recording, provide reporting, auction management, and other general support.
  • Support the execution of in-house mailing production.
  • Work closely with RD Data Officer to carry out data governance and cleansing tasks to ensure highest donor database quality.
  • Support other activities within the department as assigned. For example, assisting in donor research, execution of marketing and cultivation mailings, preparing donation reports, assisting Management in various fundraising registration and application.

JOB REQUIREMENTS *

MINIMUM QUALIFICATIONS

  • Typically, a Bachelor’s degree in related area. Equivalent combination of relevant education and experience may be substituted as appropriate.
  • Typically, One year or more of office and/or administrative workplace experience utilizing Microsoft Windows and Office Suite
  • Preferred experience in Business or fundraising operations role and Non-profit sector
  • Excellent organizational skills and attention to detail
  • Proficiency with Microsoft Windows and Office
  • Effective written and oral communication skills
  • Excellent time management and productivity skills, and ability to meet deadlines
  • Ability to multi-task and frequently adjust priorities
  • Collaborate effectively with colleagues and external service provider
  • Practices discretion with sensitive materials and information

Desirable

  • Proficiency with Raiser’s Edge or other CRM
  • Proficiency with Microsoft Outlook
  • Proficiency in Microsoft Excel and Word and at least 50 WPM typing speed
  • Systems- and process-oriented
  • Proficient grammar and writing skill
