Assistant Director, Collaborative Systems

POSITION SUMMARY:

The Assistant Director, Collaborative Systems is responsible for the planning, development, implementation, training and maintenance of collaborative systems. This includes, but is not limited to, content management, intranet, learning management and all other systems, applications and environments relevant for HIAS to achieve operational excellence via collaboration and communication technology. Online collaborative systems serve as a medium for organizational sharing, which reduces costs and increases efficiency. The Assistant Director, Collaborative Systems manages this process and cultivates use and promotion of online collaboration. They work across the organization to accomplish these goals and assist the Senior Director, Information Technology with implementation of the appropriate strategy, standards, policy and governance.

ESSENTIAL FUNCTIONS:

COLLABORATIVE SYSTEMS

  • Ensures suite of collaborative systems meets the needs of global workforce and is fully functional.
  • Acts as project lead for new collaboration projects, including research, procurement and implementation of collaboration systems.
  • Stays up to date on new features in existing technology suite and industry trends, and propagates this information among staff worldwide to increase usage.
  • Provides reports and statistics on usage of collaboration platform suite and recommends changes to IT strategy based off these metrics.
  • Partners with Case Management System and ERP teams to promote synergies between collaboration systems and other business application systems.
  • Leads design, creation and upkeep of organizational-wide automation processes when other solutions are not available.
  • Performs other duties as assigned.

INTERNAL COMMUNICATIONS

  • Works with operations teams to determine best communications tools to meet organizational objectives, manage vendor relations, support use of these tools and assist in establishing best practices for effective outreach.
  • Effectively manages HIAS’ intranet platform and ensures it serves as an effective and updated information sharing tool for HIAS’ global staff.
  • Provides ongoing training and support for content creators and users.
  • Performs other duties as assigned.

USAGE & CAPACITY

  • Promotes usage of collaborative systems with staff worldwide to ensure staff are aware of available technology and how it can be used to complete their project or departmental objectives.
  • Liaises with HQ and regional IT staff to understand country office needs and provide recommendations and direct support as necessary to complete programmatic objectives.
  • Provides documentation and training tools to support online collaborative systems.
  • Identifies, arranges and/or delivers suitable training solutions for all employees to improve their tech capacity.
  • Performs other duties as assigned.

ORGANIZATIONAL EFFECTIVENESS

  • Maintains understanding of HIAS operations and programs, proactively works with departments to locate areas for improved organizational effectiveness and fosters adoption of new technology or processes to achieve efficiency gains.
  • Fosters culture of project management principles and data quality/analytics through partnership with other teams, promotion of related technologies and consultation with HIAS teams.
  • Performs other duties as assigned.

QUALIFICATIONS & REQUIREMENTS:

  • Undergraduate degree or equivalent work experience required.
  • 5-7 years of relevant experience required.
  • 3+ years of solid experience with the Microsoft 365 platform (SharePoint, OneDrive, Groups, Teams, etc.) required; must demonstrate proficiency with, and understanding of, Microsoft 365 tools, to include how to administer security and users, and must be able to prove strong technical aptitude.
  • 3+ years of experience with online collaborative systems required.
  • 3+ year of experience with intranet/extranet technologies required.
  • Demonstrated experience in technical training/adult learning.
  • Outstanding project management skills.
  • Excellent written and verbal communication skills.
  • Strong analytical and problem-solving skills.
  • Exceptional interpersonal skills.
  • Strong organizational and follow-up skills.
  • Ability to work independently without direct supervision.
  • Good working knowledge of the Microsoft Office Suite of products (Word, Excel, PowerPoint, etc.).
  • Ability to learn new technology products quickly with limited or no formal training.
  • Willingness to travel internationally; international travel experience preferred.
  • Travel, to include travel to insecure operating environments, may be required.
