Duties

As the Administrative Assistant to the Inspector General, you will serve as the Executive Assistant to the Inspector General (IG), a Presidential appointee, overseeing all administrative activities of the Office of the Inspector General (OIG). You will provide administrative support to the Inspector General, Chief of Staff, Deputy Inspector General (Deputy IG), General Counsel to the Inspector General, and the Resource Management and Operations Support Unit, its Director and staff.

Such Duties Include But Are Not Limited To The

  • Management of administrative and clerical activities performed by program support staff, periodically reviewing administrative procedures and providing guidance as required. Ensuring the efficient, timely, and effective completion of the administrative and clerical work of the OIG.
  • Review of the work of the Assistant Inspector General for Audits and Assistant Inspector General for Investigations program support staff submitted for IG signature to ensure compliance with correspondence procedures.
  • Directing the flow of incoming correspondence in the OIG.
  • Review of correspondence, reports, papers, and other documents requiring the personal attention of the IG or Deputy IG to ensure that materials are adequately prepared, timely, responsive, and adhere to proper format.
  • Research, as required by the IG, Deputy Inspector General, or OIG staff on subject matter related to general administrative issues; or in preparation of papers or meetings by the IG. You shall also research NRC and DNFSB policies and procedures applicable to OIG administrative operations and provide information to staff.
  • As requested, assists with interviews, and recommendations for selection of program support personnel for the OIG. Plans and executes administration orientations for all new program support employees.
  • Assists the IG in the management function by maintaining a Yellow Ticket control system of assignments made within OIG to assure timely completion of work relative to information requests and to other priority actions. Follows up on progress of various work projects.
  • Maintains OIG file systems for incoming and outgoing correspondence and other front office work products. Enters information into, as well as searches and retrieves information from, the OIG Management Information System Correspondence Control Log and office paper files for use by staff.
  • Receives all telephone calls for the IG, determining which incoming calls should be referred directly to the IG and which should be directed to other senior staff members. Answers routine inquiries.
  • Performs duties in connection with travel of the IG, the Chief of Staff, the Deputy Inspector General, and General Counsel to the IG involving planning of travel itineraries including making reservations, preparing travel authorizations, and preparing travel vouchers.
  • Proofreads and formats outgoing correspondence signed by the Inspector General, Chief of Staff, Deputy Inspector General, General Counsel, and Director RMOS in accordance with appropriate standards.
  • Performs several liaison functions. In keeping with OIG policy, responds to requests for information from other NRC offices, DNFSB offices, federal agencies and Congress.
  • Makes appointments with the view of optimum use of the IG’s time with NRC/DNFSB Chair/Commissioners/Board Members, Executive Director for Operations, Chief Financial Officer, and NRC/DNFSB General Counsel, officials in other government agencies, and organizations, etc.
  • Initiates action to follow-up on commitments made by the IG in conference or telephone conversations. Follows up on correspondence to expedite handling or to check on the status of projects to keep the IG informed.
  • Greets and receives visitors including representatives of other government agencies and NRC/DNFSB staff at the main office reception area. Prepares correspondence for the IG’s signature. Composes correspondence of a routine nature.
  • Meticulously maintains the Inspector General’s calendar and scheduling in coordination with the Chief of Staff, providing daily, weekly and monthly calendar maintenance and updating; Maintains scheduling and correspondence controls necessary to promote efficient use of the IG’s time and thorough response to requests of the office and external stakeholders.
  • Independently recommends revisions to or establishment of office procedures and policies regarding administrative matters.
  • Serves as office property custodian, establishing procedures for maintaining accurate property records for the office, updating the property system to ensure property records are kept current.
  • Establishes and maintains records for monitoring fiscal resources and expenditures for the Administrative Assistant assigned purchase card.
  • Conducts periodic meetings with secretarial staff regarding updated procedures and the overall administrative work of the office.
  • Performs other duties as assigned.

Qualifications

In order to qualify for this position, you must have at least one year of specialized experience at the next lower grade level in the Federal service or equivalent experience in the private or public sector.

The ideal candidate will be able to demonstrate the following:

  • Demonstrated initiative and ability to provide administrative support and coordination in a variety of areas (time and attendance reporting, security, records management, travel scheduling, etc.)
  • Demonstrated ability to plan, organize and coordinate work, and to handle multiple assignments with competing priorities, often under considerable pressure to meet deadlines.
  • Demonstrated experience or potential in researching and analyzing problems and issues, and skill and ability in negotiating effectively with management to propose and implement solutions.
  • Advanced knowledge and experience in the proper use of grammar, spelling, punctuation, sufficient to prepare and review outgoing material for correctness, proper format and completeness.
  • Demonstrated skill and ability in communicating information, ideas and advice in a clear, concise and logical manner, both orally and in writing.

Education

A bachelor’s degree or higher is desired.

A transferable security clearance from another agency or a background investigation leading to a clearance is required for all new hires. To begin work at the NRC without a security clearance, you must be granted a temporary waiver of the required clearance, referred to as a 145(b) waiver. To be eligible for a 145(b) waiver you will need a favorable education verification, reference, credit, and criminal history checks. If a wavier is granted, the successful completion of a background investigation and favorable adjudication is required for continued employment. If you have resided outside the U.S. for an extended period of time, the agency may not be able to (1) grant the 145(b) waiver where the required investigation cannot be completed in a timely manner, or (2) achieve timely completion of the background investigation required for a security clearance.
