Organizational Setting

The main aim of FAO Country Offices, which are headed by an FAO Representative (FAOR), is to assist the governments to develop policies, programmers and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.

Reporting Lines

The administrative assistant will work under the direct supervision of the Assistant FAO Representative (Administration) (AFAOR-A).

Technical Focus

Tasks And Responsibilities

Under the overall supervision of the FAO Representative in Angola (FAOR) and direct supervision of AFAOR-A, the Administrative Assistant will work as the focal point for matters related with recruitment of employees in the Administration unit. More specifically the incumbent will carry out the following tasks:

  • Under the guidance of AFAOR-A the HR Assistant will provide assistance with the recruitment processes of all type of personnel , according to the vacancy announcements and requests for the issuance of duly approved contracts, ensuring that the recruitment procedures are in compliance with the rules and procedures of the Organization and as expected by the Representation;
  • Maintain the communication with the NSHR Team in the Shared Services Center for the recruitment of international consultants when required.
  • Prepare services contracts, PSA.NAT and NPP with the locally recruited project employees based on the Terms of Reference cleared and specified by the supervisors or relevant units of FAO,
  • Issue the timecards for PSA/COF.REG contracts holders’ .
  • Maintain the file of the personnel organized and updated;
  • Support all employees in the resolution of administrative matters when required.
  • Attend and foment the attendance of other colleagues to courses and training associated to the Human Resources Unit,
  • Perform other related duties as required by the FAO Representative and Assistant FAO Representative.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

  • University Degree in HR management or relevant administrative area
  • Minimum 4 years’ experience in general project/office operational activities, and operational management
  • Angolan nationality
  • Working knowledge of Portuguese and English or French is required.

Technical/Functional Skills

  • Work experience in more than one location or area of work, particularly in field positions is desirable.
  • Ability to write briefs and reports
  • Ability to work under pressure and meat deadlines
  • Previous work experience with UN agencies is preferred
  • Strong skills in word processing and spreadsheet software computer are required
  • Ability to work efficiently with minimal direct supervision
  • Good Communication skills to maintain working relationships with people from different nationality and cultural background
