*Description:*

  • Provide a broad variety of expert administrative functions in support of the organization
  • Attend to visitors/guests, issue access badges, and arrange transportation, as needed
  • Field and manage emails, calls, and all forms of correspondences courteously, professionally, and confidentially when necessary
  • Prepare, revise, and format excel spreadsheets, power-point presentations, and other written documents
  • Reserve and prepare conference rooms for meetings, including AV and catering as needed
  • Maintain office and kitchen supplies inventory, as well as order business cards for staff upon request
  • Act as the primary point of contact for repairs of office appliances and equipment
  • Maintain the office condition and arrange repairs when necessary Human Resources Support:
  • Assist with internal and external HR related inquiries or requests
  • Maintain Staff Directory
  • Maintain both hard and digital copies of employees’ records
  • Assist with the recruitment process by scheduling interviews, performing reference checks, and maintaining agendas
  • Assist with performance management procedures Finance Support:
  • Maintain Financial Department files
  • Support audit requests by collecting information and documents as requested
  • Generate purchase orders and assist with procurement requests
  • Contribute to ad hoc projects by developing systems and implementing new processes as needed
  • Communicate with staff on deadlines and other timely reminders and announcements

Preferred:

  • A high school diploma or equivalent from an accredited institution, college degree preferred.
  • Five (5) years of experience in office management and/or coordination, prior experience working for a pharmaceutical or biotech company a plus, public company experience preferred.
  • Strong communication skills, excellent customer service, conflict resolution, and writing skills.
  • Strong planning and organizational skills with a strong attention to details
  • Experience handling sensitive, confidential business matters and information with discretion, and the ability to protect confidential information.
  • Must be proficient in Microsoft Office applications, specifically with Word, Excel, and PowerPoint.
  • Demonstrated ability to effectively work within a fast-paced office environment and to be a self-starter.
  • Ability to effectively communicate, decipher issues, and inquiries that need immediate attention, and exercise considerable judgment and discretion.
  • The ideal candidate will be experienced in handling a wide range of administrative support-related tasks, working independently with little supervision.
