Administrative Assistant

We are looking for a hardworking Administrative Assistant to join our VG & Partners office in White Rock, BC, having an immigration background to perform a variety of administrative tasks. The candidate should have administration experience and a strong desire to work in a fast paced, team environment and interact with staff, clients, and guests in a consistently personable, professional, and helpful manner. Ensure that all the information provided by the client is accurate, carry out the responsibility of checking all the legal documents of the client and informing them in case of any discrepancy in any of the documents.

Responsibilities:

  • Write and distribute emails, correspondence memos, letters, faxes, and forms
  • Assist in the preparation of regularly scheduled reports and meetings
  • Develop and maintain a filing system
  • Maintain contact lists
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Must oversee all the aspects involved in processing visas and immigration services, ensuring that these processes run smoothly.
  • Required to oversee the completion of all relevant visa and immigration documents and ensure that they are received within the time
  • Should prepare all fee quotes and any information required by clients, colleagues or authorities.
  • Provide necessary information to clients on all immigration rules pertaining to the country of visit or employment as necessary.
  • Advise clients on the best ways to obtain work permit and other visa approvals by providing the correct process well in advance.
  • You must take full responsibility of all Immigration issues and operations
  • Provide a proper checklist of all the documents necessary for immigration to clients before initiating the immigration process.
  • Conduct surveillance on the various documents to ensure that clients are submitting genuine documents.
  • Generating and submitting reports of all the immigration files handled on a daily basis.

Admin Assistant Skills & Qualifications:

  • Proven experience as an Administrative Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and PowerPoint MS etc.)
  • Excellent time management skills and the ability to prioritize tasks
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Must be able to work to tight deadlines even when under pressure, whilst still being able to provide a high level of customer service.
  • Must have strong communication and negotiation skills as the job is centered on communication with the client, colleagues, and authorities
  • Must have experience in immigration procedures

Job Type: Full-time from the office – Remote work is not possible.
