Background

RESPONSIBILITIES

GENERAL

  • Admin
  • Manage the day to day running of the iMMAP Ukraine Office
  • Organize meetings as required across the various departments
  • Liaise with external actors and authorities
  • Keep oversight on all Visa and Residential process
  • Support with localization of the contracts and adopting iMMAP policies to the local context
  • Draft correspondence, documents and reports
  • Perform other related duties as required

REPRESENTATION

  • Maintain effective and positive internal communication with iMMAP Ukraine office team members to be in line with the policies and procedures and exchange knowledge.

Description of Duties

ORGANIZATIONAL LEARNING

As part of the iMMAP commitment to organizational learning, and in support of the understanding that learning organizations are more effective, efficient and relevant to the communities they serve, it is expected that the individual will commit 5% of his/her time to learning activities that benefit iMMAP as well as individual professional development.

ACCOUNTABILITY TO BENEFICIARIES

iMMAP team members are expected to support all efforts toward accountability, specifically to beneficiaries of iMMAP programs, and to international standards guiding international relief and development work while actively engaging beneficiary communities as equal partners in the design, monitoring and evaluation of field projects.

REPORTING LINES

The Admin Officer works under the direct supervision of the Project Manager.

Requirements

QUALIFICATIONS

REQUIRED

  • University degree in Business Administration, Humanitarian Affairs, or any other relevant field.
  • Minimum three (3) years of experience in Admin role.
  • Demonstrable skills implementing administration, and procurement procedures in compliance with HQ and donor regulations.
  • Excellent command of Office suite applications (Word, Excel, PowerPoint);
  • Excellent inter-personal and general communication skills;
  • Very good English, both spoken and written.

DESIRED

  • Strong interpersonal skills.

  • Willingness to work under tight deadlines
  • Physically fit and able to cope with demands of unusual working hours and difficult environments.
