Background

GENERAL

  • Finance
  • Check cash movements
  • Communicate payments made by headquarters for the field and the consolidated forecast
  • Organize and make secure fund transfers to supply the cash
  • Control the project’s cash level monthly
  • Reviewing the cash management policy
  • Supervise the invoice checking
  • Integrate the accountancy in the accounting software and make the monthly closure (feedback to financial persons in charge of the books – including partners, feedback to HQ, integration in SAGA, matching, checking)
  • Check and edit the monthly accounting documents, and send to Headquarters
  • Create Finance SOP document.
  • Liaise with Finance HQ

REPRESENTATION

  • Maintain effective and positive internal communication with iMMAP Ukraine office team members to be in line with the policies and procedures and exchange knowledge.

Description of Duties

À la carte, then listed in sub-categories:

  • Supervise and coordinate the provision of all administrative, personnel and financial support require to the project, ensuring that appropriate control reporting structure are maintained in accordance with the organisation’s rules and regulations.
  • Manage projects accounting and financial system by ensuring that appropriate cashbook prepared for each month expenses.
  • Coordinate and act as focal point for issues relating to finance (including salary, payment of per diem, rent, hazardous, R &R, process of invoices and receipt of funds).
  • Coordinate the asset inventory process, including procurement and reporting in established forms to iMMAP.
  • Manage admin/finance issues with iMMAP head quarter office when required.
  • Undertake other duties as requested by the line manager.
  • Prepare all finance reports and monthly cashbook for iMMAP Ukraine with scanning all receipts.

Requirements

  • Education
  • University an Institute degree in business administration, finance or relevant field
  • Experience
  • With at least 5 years or work experience in Administration field.
  • Soft skills
  • Flexible and adaptable to any situation.
  • Ability to work independently while under pressure and during long hours.
  • Excellent work habits with a willingness to work in a multi-cultural environment.
  • Excellent organizational skills, including proven ability in administration, financial and logistics.
  • Excellent communication skills, including drafting documents;

  • **Excellent computer skills in the Windows and Microsoft Office especially MS Excel and MS Access.
